About the Role We are seeking a proactive and organised Office Assistant / Care Administrator to join our friendly team at Sky Vigil Care Ltd.
This is a key role in supporting the smooth day-to-day running of our Domiciliary Care and Supported Living services.
You will work closely with the Registered Manager and Coordinators, ensuring effective communication, accurate record-keeping, and timely administrative support across all areas of the business.
Responsibilities Provide general administrative and clerical support to the care management team.
Answer phone calls and respond to emails in a professional and timely manner.
Maintain accurate records of staff compliance including DBS, right-to-work documents, training certificates, and ID checks.
Assist in the recruitment process by scheduling interviews, chasing references, and updating candidate files.
Support the coordination of staff rotas and care visits using the Birdie system (training will be provided).
Collect, verify, and process timesheets to support payroll preparation.
Prepare letters, reports, and care documentation as required.
Greet visitors, staff, and professionals, maintaining a welcoming office environment.
Monitor office supplies and place orders when necessary.
Handle confidential information in line with GDPR and company policies.
Skills and Experience Previous experience in an administrative or office support role, ideally within a care or health sector.
Good working knowledge of Microsoft Office (Word, Excel, Outlook).
Experience using care management systems such as Birdie is desirable (training available).
Strong organisational and multitasking abilities with excellent attention to detail.
Confident communicator with good written and verbal communication skills.
Ability to work independently as well as part of a team in a fast-paced environment.
