Where will you be working?
Aviation - Our Aviation team works across a wide range of specialist civil, mechanical and electrical engineering works including major international airports, regional airports and RAF airfields. M Group Transport Aviation Team are seeking an Office Manager to join our team. Primarily supporting our Aviation client in Gatwick, this role is suitable for experienced Office Managers looking to progress their career to the next level.
What will you be doing?
- You’ll manage full diary support to leadership team members, scheduling and coordinating meetings.
- This will include managing multiple diaries effectively, assistance in planning of all day-to-day activities of the leadership team.
- You’ll process multiple expenses and organise and arrange travel and accommodation.
- Communication is key, as you will be liaising with staff, suppliers and clients and processing IT orders, along with general admin and support for the team.
- Managing relationships with facilities contractors and service providers.
- We’ll ask you to manage and coordinate M Group events and assist in organising corporate events.
- You’ll take and direct calls on behalf of M Group, including initial handling of customer complaints.
- The role will include completing administrative tasks such as printing, scanning, photocopying, booking and maintaining meeting rooms and arranging catering for meetings.
- Organising and maintaining the kitchen and communal office areas, managing and monitoring the onsite cleaners and keeping basic office and kitchen supplies stocked.
- Raising purchase orders and managing invoices for office-related goods and services.
- You’ll also provide business support to colleagues across M Group: ordering IT equipment, ordering stationery and sundry items as required.
- You’ll greet visitors to the office warmly and offer them help immediately, assisting with their visitor passes.
- Conducting regular office walk-arounds to ensure a safe, tidy, fully functional workspace.
- Be recognised across the business as a contact for facilities issues and monitoring the minor facilities work.
- We’ll ask you to assist in ensuring the building and facilities meet health and safety and fire requirements and maintaining office compliance documents, policies, and health & safety records.
- Respond appropriately to emergencies or urgent issues as they arise and deal with any consequences.
- Support contract-wide communications through maintaining email distribution lists and office notice boards.
- We’ll ask you to draft correspondence, communications, and documentation on behalf of the Leadership Team.
- Overseeing office maintenance logs and proactively identifying areas needing attention.

- General administrative experience (printing, filing, correspondence).
- Facilities and office management (cleaners, supplies, workspace upkeep).
- Experience in event coordination for internal and corporate activities.

- Managing purchase orders, invoices, and IT/stationery ordering.
- Proactive problem-solving and able to multitask in a fast-paced environment.
