About the Role
Our client a professional services firm is currently recruiting for a PA.
The successful candidate will provide effective, efficient PA, administrative and secretarial support to fee earners across the team, working collaboratively with colleagues across offices to deliver a high-quality service.
The Opportunity
You will be one of two PAs supporting the team. Although the PA team may work from different offices, the team operates as one collaborative unit, supporting fee earners wherever they are based or working. From time to time, you may also assist with wider divisional needs.
Key Responsibilities
Accurately produce correspondence, documentation, presentations and related materials using Word, Excel, PDF Editor, PowerPoint and dictation software
Create, amend and manage large documents, liaising with the WP team where required
Carry out client and matter opening and closing in line with firm processes, including conflict checks, AML requirements and letters of engagement
Manage diaries, meetings, room bookings, catering, IT support, travel arrangements, itineraries and expenses
Manage email accounts, partner inboxes and inboxes for absent fee earners, including email storage and file management
Support team meetings, including attendance, room and technology arrangements and note-taking where required
Assist with active matter reviews, billing, invoice production, client fee portals, purchase orders and invoice queries
Maintain filing, scanning, photocopying, binding, FlowMatrix checks, contact information and paper storage processes
Liaise with clients, contacts and internal support teams including Finance, Facilities, Reception, Marketing and Communications, and IT
Provide wider support to the PA group, other divisions and offices as required
Candidate Profile
Essential Skills & Experience
Excellent organisational skills and the ability to manage competing priorities effectively
Strong attention to detail and accuracy when producing documents, correspondence and administrative work
Excellent administration skills, with confidence using Microsoft Office and document management systems
Clear, professional communication skills and a proactive, team-focused approach
Desirable
Previous experience working within the legal sector
Previous experience as a PA or Executive Assistant
