Incident Reporting Administrator in Elstree

Join Elysium Healthcare as an Incident Reporting Administrator and play a key role in supporting and improving our incident management and patient safety reporting systems. In this rewarding role, you will be responsible for supporting the development, maintenance and continuous improvement of Elysium's Incident Management System (IMS), ensuring it enables the safe, effective and compliant management of patient safety events.

Working closely with clinical teams, governance leads, IT colleagues and external stakeholders, you will help ensure the system aligns with operational requirements and national healthcare frameworks, including PSIRF, LFPSE and MHSDS. You will act as a vital link between technology and clinical practice, translating clinical, operational and regulatory requirements into clear and actionable system improvements. By engaging with users across the organisation, you will identify opportunities to enhance system performance, improve user experience and support the ongoing development of incident reporting processes.

A key aspect of the role involves monitoring system usage, reviewing performance data and analysing feedback to identify trends and areas for improvement. You will develop and maintain reporting dashboards, produce meaningful insights and support the creation of KPIs that help track incident trends, reporting quality, system effectiveness and user engagement.

Key Accountabilities:

• Leadership: Maintain a prioritised backlog/enhancement requests, ensuring features align with business goals and regulatory obligations.
• Clinical & Operational Alignment: Collaborate with clinical and operational leaders to ensure the IMS supports real-world patient safety processes. Ensure usability for frontline staff and integration with investigation workflows such as RCA, After Action Reviews, and Learning from Deaths.
• Regulatory Reporting & Compliance: Ensure the system meets NHS requirements, including compliance with the Patient Safety Incident Response Framework (PSIRF). Lead the implementation and maintenance of integration with LFPSE (Learn from Patient Safety Events) platform, including automated data submission and classification standards.
• IT & System Integration: Work with IT and development teams to ensure secure, scalable architecture. Oversee integrations with Electronic Health Record (EHR) systems, reporting tools, and identity management (e.g., Active Directory). Work within an ITIL framework by aligning product value delivery with IT service management processes, ensuring service stability, compliance and quality are maintained. Embed security by design principles within all application lifecycle activities, ensuring alignment with organisational cyber security standards and regulatory compliance requirements, and actively partnering with Information Security to manage risk effectively.
• Vendor management: Act as a point of contact on a day-to-day perspective, overseeing tickets raised, vendor performance against agreed targets and SLAs. Support service delivery review meetings. Understand and educate vendor proposed releases/developments and ensure third parties work with EHC change enablement policy.
• Stakeholder Engagement & Business Change Management: Act as the voice of users across clinical, IT, and compliance teams. Lead workshops, user testing, and support training team to support successful adoption. Manage stakeholder expectations and ensure alignment with digital strategies.

To be successful in this role, you will need:

• Working knowledge of product improvements, including backlog/enhancement management, roadmap development and the ability to prioritise.
• Working knowledge of patient safety processes (e.g., PSIRF, Duty of Candour, incident investigation).
• Understanding of LFPSE requirements and NHS data standards.
• Familiarity with EHR systems (e.g. Carenotes, Epic), API integration, system security, data governance and ITIL framework.
• Ability to use BI tools (e.g., Power BI, Tableau, Qlik) for incident trends, RCA tracking, and learning outcomes.
• Able to align product development with real-world frontline challenges.
• Can translate clinical requirements into system features and vice versa.
• Understands the importance of compliance and accurate safety data.
• Able to build strong relationships across clinical, IT, and governance teams.
• Delivers high-quality, secure, and audit-ready solutions.
• Balances short-term fixes with long-term system improvements.
• Standards: HL7, FHIR, SNOMED CT (useful for integration and data structure).

Experience:

• Experience as a Product Owner or similar role in a healthcare or regulatory-compliant environment.
• Demonstrated experience working with clinical, operational and IT teams in a healthcare setting.
• Experience gathering requirements, conducting user testing and iterating based on feedback.
• Proven track record of delivering digital products that support compliance, safety and end-user adoption.
• Experience with regulatory reporting and governance frameworks (e.g. PSIRF, LFPSE, CQC, NHSEI).
• Experience with Incident Management Systems: RLDatix, Radar Healthcare, Ulysses.
• Experience with NHS Reporting: LFPSE integration, NHS Digital APIs.
