The Role:
You will be responsible for the efficient day-to-day running of the hire desk for Road Sweeper operations across the South Coast region. This is a customer-focused role, ensuring effective scheduling, maximum fleet utilisation, and smooth coordination between customers and drivers. You will assist the deputy GM in completing the weekly payroll spreadsheet for depot drivers and ensuring payroll accuracy for the depot.
Key Responsibilities:
Manage incoming calls, emails, and booking requests in a professional and timely manner
Schedule and allocate Road Sweeper jobs to drivers, ensuring maximum fleet efficiency
Use the TeamLeaf operations system to plan, schedule, and update jobs in real time
Complete and manage the weekly payroll spreadsheet for depot drivers, ensuring accuracy and timely processing
Ensure all drivers training qualifications and training agreements are updated regularly
Ownership of National Contract HSS and their system Brenda
Effective collaboration with the National Hire Desk
Prepare daily work schedules and provide drivers with clear, accurate job details
Conduct and record end-of-shift debriefs with drivers
Proactively communicate with customers regarding bookings, delays, or issues
Accurately input and manage job data to support operational tracking and invoicing
Check and confirm completed works to assist the Finance team with invoicing
Maintain strong communication with drivers to support smooth daily operations
Support the General Manager and wider team as required
Duties and Responsibilities:
Follow all Health & Safety policies and procedures at all times
Ensure compliance with relevant environmental legislation
Report any accidents, incidents, or hazards in line with company procedures
Support a proactive safety culture across operations
Assist with driver briefings and daily communications where required
Contribute to maintaining an organised, efficient, and professional hire desk function
Attend team meetings and contribute to operational improvements
Carry out additional duties as required by management
Requirements:
Strong communication skills with the ability to manage customers confidently
Organised and methodical approach to workload and scheduling
Ability to prioritise tasks and work under pressure
Positive, proactive attitude with a team-focused approach
Good level of computer literacy (including Microsoft Word and Excel)
Ability to learn and effectively use the TeamLeaf system
Punctual, reliable, and able to meet deadlines
Flexible approach to working hours when required
Essential Skills:
High attention to detail
Excellent verbal and written communication
Ability to work independently and use initiative
Strong customer service skills
Good understanding of operational processes
Desirable Skills:
Previous experience in a hire desk or transport planning role
Experience using scheduling or operations systems (TeamLeaf preferred)
Knowledge of Road Sweeper operations (preferred but not essential)
Ability to work in a fast-paced environment
