We are looking to recruit an experienced PA/Assistant to work for a busy Director in an expanding Manufacturing company based in the West of Newcastle upon Tyne.
This is a part-time role 2-3 days per week.
We are looking for someone to join the team to ensure the smooth running of the office on a day-to-day basis whilst working closely with Directors and Team members.
Someone who is highly organised, able to multitask and can work towards deadlines.
The role
- General admin support including booking travel, organising diaries and appointments.
- Taking calls from customers and suppliers.
- Diary management, travel management, corporate hospitality, organising and coordinating itineraries for internal and external meetings.
- Arranging calls and booking meeting rooms, organising events and managing meeting agendas.
- Organise and schedule meetings and appointments on behalf of Partners.
- Taking and distributing meeting minutes.
- Liaison with production and internal departments.
- Distribution of bills, managing various rotas, maintaining organisational charts and processes library.
- Supporting the preparation of reports, presentations, and general business correspondence as needed.
- Maintaining an organised and efficient office environment, including managing filing systems (physical and electronic) and ensuring shared spaces are tidy and presentable.
- Typing letters, agendas, emails and ad hoc clerical work as needed.
- Using MS Office and in-house computerised systems.
Requirements for the role
- Previous PA/Secretarial experience to Director level.
- Highly organised, able to multitask and work towards deadlines.
- A flexible, can-do approach - ready to get involved in everything from client communications to meeting coordination.
- GCSE in Maths and English at Grade 4 or above (or equivalent).
- Excellent organisation and communication skills.
- Attention to detail.
- Ability to deal with colleagues at all levels.
- Discretion and Confidentiality.
- Ability to be proactive.
- Willingness to help other departments in this central role.
- Microsoft Office – Outlook, Excel, Word, PowerPoint experience.
- Diary and travel management experience.
