Job Description
Take Ownership of Our Bid Coordination Function
Salary: £38,000£45,000 DOE
Location: Peterborough (Hybrid Working Available)
Help Us Win More Work
All-Tech Electrical & Mechanical Ltd is a growing specialist contractor delivering electrical, mechanical and renewable energy projects across the UK.
We're looking for an experienced Bid & Tender Coordinator to become the driving force behind our bid administration and coordination process.
This is not a bid writing role.
Instead, you'll take ownership of coordinating the entire tender process, ensuring opportunities progress efficiently from identification through to submission. Working alongside our Lead Bid Writer and Director, you'll become the central point of contact for all bid administration, helping us produce high-quality, compliant submissions that win work.
As a small, ambitious business, every member of our team has a real impact. This is an opportunity to join us in a role where you'll have genuine responsibility, autonomy and the opportunity to shape how our bid function develops.
The Opportunity
We're looking for someone who enjoys taking ownership, improving processes and working independently.
The successful candidate will coordinate all aspects of our tender administration, ensuring deadlines are met, documentation is well organised and submissions are professionally presented.
This role would suit someone who enjoys bringing structure to busy environments and takes pride in ensuring nothing gets missed.
Because we're a small business, we're looking for someone who can hit the ground running with minimal supervision. You'll have the support of our Lead Bid Writer and Senior Management, but you'll also be trusted to manage your own workload and keep the bid process moving.
What You'll Be Doing
Your responsibilities will include:
- Monitoring public and private sector procurement portals for new tender opportunities.
- Identifying suitable opportunities and notifying the Directors and Lead Bid Writer.
- Downloading, organising and distributing tender documentation.
- Creating and managing tender programmes, action plans and submission schedules.
- Coordinating information from estimating, commercial, project delivery teams and subcontractors.
- Chasing contributors to ensure deadlines are achieved.
- Reviewing tender documentation to identify submission requirements and compliance criteria.
- Formatting, proof-reading and compiling professional tender submissions.
- Uploading completed submissions through electronic procurement portals.
- Coordinating clarification questions throughout the tender process.
- Maintaining bid libraries, templates, case studies, CVs, policies and supporting documentation.
- Recording bid activity, maintaining submission history and monitoring success rates.
- Supporting project mobilisation following successful contract awards.
- Coordinating supporting documentation including:
- Construction Phase Plans (CPPs)
- Risk Assessments & Method Statements (RAMS)
- Quality Plans
- Environmental documentation
- Mobilisation Plans
You'll also help ensure all submissions remain compliant with client requirements, procurement legislation, CDM Regulations and industry best practice.
About You
We're looking for someone who enjoys organisation, coordination and taking responsibility.
You'll be confident managing multiple deadlines, communicating with different stakeholders and keeping complex submissions on track.
You may currently work as a Bid Coordinator, Tender Coordinator, Tender Administrator, Document Controller, Commercial Coordinator, Project Coordinator, Pre-Construction Coordinator, Technical Administrator, Commercial Administrator or similar role within the construction, M&E, engineering, infrastructure or renewable energy sectors.
Essential Experience
We're looking for someone who can become productive quickly, so you'll ideally have experience of:
- Coordinating bids, tenders or commercial documentation within construction, engineering, M&E, infrastructure or renewable energy.
- Managing multiple deadlines and coordinating information from different stakeholders.
- Public and/or private sector procurement processes.
- Electronic procurement and tender portals.
- Producing accurate, professional documentation.
- Microsoft Office, particularly Word, Excel and PowerPoint.
- Working with minimal supervision and taking ownership of your workload.

- Knowledge of accreditation schemes and standards such as Constructionline, ISO 9001:2015/ISO 14001:2015/ISO 45001:2018 NICEIC Gas Safe and MCS accreditation.
The Person We're Looking For
You'll be someone who:
- Enjoys taking ownership rather than waiting for instructions.
- Is highly organised and methodical.
- Has exceptional attention to detail.
- Can confidently prioritise competing deadlines.
- Builds positive working relationships across different teams.
- Is proactive and always thinking one step ahead.
- Takes pride in producing accurate, high-quality work.
- Enjoys improving systems and processes.
Why Join All-Tech?
This is an opportunity to become a key member of a growing business where your contribution will be highly visible.
Unlike larger organisations, you'll have the opportunity to influence how our bid function operates and work closely with our director on winning new business.
Your work will directly contribute to securing new projects and supporting the continued growth of the company.
If you're looking for a role where you can take ownership, make improvements and genuinely make a difference, we'd love to hear from you.
