In this role, you’ll also play an important part in ensuring ARM meets its GDPR and data protection obligations. You’ll handle personal data responsibly and in line with company policies, ensuring information relating to employees, clients, and partners is managed securely and appropriately at all times. You’ll be expected to stay up to date with best practices, including completing annual GDPR training, helping to maintain a culture of compliance and accountability across the business.

What you’ll be doing

  • Serving as first point of contact for the agency
  • Direct reports: FOH Coordinator (London) & Office Coordinator (Leeds)
  • Ensure the office is operating smoothly and looks tidy for visitors and staff
  • Restaurant booking & catering requests
  • Active member of the EDI committee
  • Working closely with IT to provide support and manage stock levels
  • Managing switchboard, greeting visitors, setting up meeting rooms etc
  • Onboarding: sorting access fobs, working with IT, office tour etc
  • Minute taking on external calls
  • Completing Adhoc office requests for Leeds and Amsterdam
  • Tracking all costs associated with office management accurately

Health & Safety

  • Responsible for office Health & Safety
  • Fire warden & first aid training
  • PAT testing, fire risk assessment, fire extinguisher servicing etc

Supplier Management

  • Working closely with third-party suppliers
  • Cleaning / office maintenance / building management / AV management
  • Oversee contracts, service and resolve any issues to the best of your ability

Events

  • Lead the organisation and execution of company events
  • All agency overnight Away Day every two years
  • Manage and track costs and budgets

PA Support & Travel

  • Proactively manage and coordinate the diaries of the MD, CEO & CSO
  • Track and submit expenses
  • Provide comprehensive support to the SLT where needed
  • Coordinate domestic and international travel: flights, trains, accommodation etc
  • Managing VISA applications and travel documents ensuring compliance with entry requirements

What we are looking for

  • 2–3 years’ experience in office management, PA, or a similar operational role
  • Exceptional organisational skills, with the ability to manage multiple priorities seamlessly
  • Strong attention to detail, with a hands-on and solution-focused approach
  • Confidence working with senior leaders and stakeholders at all levels
  • Excellent written and verbal communication skills
  • Experience managing suppliers, office operations, and events
  • Tech-savvy, with the ability to quickly learn new systems and tools
  • Resilient, adaptable, and able to remain calm in a fast-paced, ever-changing environment
  • A proactive mindset, with a passion for improving processes and ways of working
  • High levels of discretion and professionalism when handling sensitive information
