Hoveton and Wroxham Medical Centre is looking for a bright and motivated Dispensary Business Manager to join our busy practice.

This part‑time position is 18 hours per week, working Tuesday, Wednesday and Thursday.

Responsibilities Gain information and help the practice negotiate sales terms from pharmaceutical companies and/or their representatives, working with the dispensary lead on these areas.

Keep a database of dispensary discounts with wholesalers and organise information so that new deals can be examined further.

Help the operations manager carefully track dispensary income and expenditure against the data on income and expenditure received at practice level.

Regularly stay abreast of manufacturing schemes, discount schemes and rebates.

Raise concerns around negative trending with the Practice Manager and GP Prescribing Partner.

Consult with clinical teams and the GP Prescribing Partner around preferred drug options for the formulary.

Communicate effectively and on time any financial opportunities and threats relating to the dispensary business to the Practice Manager (Dispensary Management Meeting last Thursday morning of the month).

Manage the NHS Prescription Service submissions (formerly PPD).

Develop predictions and check variances in spend and income for dispensary.

Scrutinise drug freight costs and their effect on small scale ordering.

Inform dispensary staff who order these items by consulting with the dispensary lead.

Ensure correct recording of Personally Administered items for VAT purposes.

Arrange meetings with wholesaler representatives.

Coordinate the monthly clinical prescribing meetings, setting agendas and circulating minutes.

Manage setting the monthly dispensary management meetings including agenda, minutes and actions.

Manage DSQS in the practice working with the dispensary lead to ensure that requirements are operationalised and reviewed.

Attend clinical prescribing and dispensary management meetings and share information with the dispensary lead.

Work with the dispensary and prescribing lead to ensure that MHRA alerts are dealt with and acknowledged on the workforce management platform.

Work with the compliance manager to ensure all SOPs and policies are complete, up‑to‑date, and acknowledged by the dispensary team.

Find and communicate prescription price changes to the dispensary team and to the public.

Ensure gaps in cashing up are identified and explored.

Work with the dispensary lead on efficiencies, including uniform and efficient task flows from dispensary.

Raise issues at the dispensary management meeting.

Check invoices against statements.

Ensure PA items claims are undertaken as needed.

Work with the dispensary lead to aim for zero stock waste.

Engage the public to educate in only ordering what drugs are needed and to avoid over ordering.

Manage ensuring rebates from Tillotts and Oxypro are claimed.

Process invoices for payment, consulting with the operations manager or practice manager as needed.

Qualifications GCSE (or equivalent) in English and Maths with a grade C or above.

At least two years of management experience.

Previous dispensary/pharmacy experience desirable.

Experience in financial management.
