THE ROLE

We are looking for a proactive and highly organised full-time Operations Assistant. This is a hybrid role that will require the successful candidate to work in our Hove office (for a minimum three days a week) and remotely.

You will report to our Operations Director and work across the business to keep us organised and ensure we operate as efficiently as possible.

This is a role for a hands-on people person with a forensic eye for detail. Someone with the confidence and ability to interact with different departments and colleagues, and communicate effectively across the company. Someone who relishes working independently and takes a calm and collected approach to juggling multiple priorities.

You’ll also need to be comfortable working with a range of online systems and have the initiative and confidence to locate and suggest ways we can improve our administrative processes.

An affinity for outdoor/sports culture and prior agency experience are preferred, but not essential.

ACCOUNTABILITIES AND RESPONSIBILITIES

Operations

  • Perform day-to-day administrative tasks across all aspects of the business
  • Coordinate agency travel requirements for client events and organise company Away Days
  • Manage office appointments, deliveries, and distribution of our sampling stock
  • Support the team by flagging and communicating any gaps in administrative processes, and implementing any improvements
  • Contribute towards continuous improvement in production processes

Client services

  • Support the Operations Director and Managing Director in ensuring all client data is up to date
  • Liaise with and support team members across accounts, digital and creative as required
  • Assist with event organisation, production, logistics, and account admin

People

  • Support the HR team in liaising with potential new candidates and arranging interviews while managing internal diaries
  • Support with onboarding new staff (ie arranging office equipment deliveries, enabling access to systems, and scheduling meetings with internal teams)
  • Assist in recruitment comms, talent mapping, and contract administration

SKILLS AND EXPERIENCE

  • Ability to commute to our Hove office regularly (minimum three days a week)
  • At least one year’s experience in a similar role
  • Comfortable working independently and in a fast-paced environment
  • Highly organised and detail-oriented
  • A sure-handed and cool-headed approach to supporting colleagues working to tight deadlines
  • Strong communication skills and the confidence to interact with different teams and people on a daily basis
  • A proactive and creative approach to solving problems
  • Strong IT skills (familiarity with AI tools would be an advantage)
  • Experience working across a range of online platforms (eg Excel, Basecamp, Google Docs)
  • A collaborative and inclusive approach to work
  • Relevant qualifications in business management, office support, or similar
  • Knowledge and experience with workflow management tools

THE PACKAGE

This is a full-time role with a salary range of £25,000.

OUR HIRING PROCESS

First stage - Initial phone call: Shortlisted candidates will be invited to a 30-minute telephone interview.

Second stage - 45-minute panel interview: Successful first-stage applicants will be invited to a 45-minute interview with the Operations Director and members of the central team.

Third stage: If we are unable to reach a decision based on the panel interview, we may invite shortlisted candidates to a final interview.

Offer: We will contact the successful candidate with a formal written conditional offer that includes a summary of the employment terms and conditions, including salary, benefits and agreed start date. The offer is subject to us receiving two work references back in the next step.

References: Once the offer has been accepted, we will request two work references, and contact them before your start date. Provided we get these back and all is in order, you will receive a full employment contract, and we’ll start your onboarding.
