We are seeking a highly capable, commercially aware Executive Assistant to support senior leadership across EMEA and APAC. This role covers both traditional executive assistant administrative support whilst acting as a trusted partner enabling effectiveness, optimise time, and ensure seamless coordination across global teams, customers, and events. The successful candidate will operate in a fast-paced, international environment, supporting multiple executives and engaging across time zones, functions, and external stakeholders.
Key Responsibilities
- Executive Support & Time Management
- Manage complex, multi-time-zone calendars across EMEA and APAC
- Prioritise meetings in line with commercial objectives, customer engagement, and internal cadence
- Act as a gatekeeper to ensure executive time is aligned to highest-value activities
- Prepare high-quality briefing materials for meetings, events, and internal reviews
- Global Travel & Logistics
- Plan and manage complex international travel (multi-leg, multi-region itineraries)
- Coordinate visas, documentation, and compliance requirements
- Optimise travel schedules for efficiency, cost, and executive productivity
- Handle last-minute changes efficiently with minimal disruption
- Arrange and manage team meetings at offsite or Alianza Office locations to include logistics and broader event planning
- Commercial & Operational Support
- Support customer engagement activities including event coordination and meeting logistics
- Track key initiatives, executive priorities, and engagement cadence using project management tools
- Assist in preparation of presentations, reports, and executive communications
- Help maintain operational rhythm across conferences, leadership meetings, and customer visits
- Stakeholder Coordination
- Interface with senior stakeholders across Sales, Marketing, Product, and regional teams
- Coordinate with customers, partners, and external event organisers
Required Skills & Experience
- Executive Support Experience
- 5+ years supporting C-suite or VP-level executives in a fast-paced, global environment
- Proven ability to manage competing priorities across multiple senior stakeholders
- Global Operations & Travel Expertise
- Deep experience coordinating complex international travel & small events
- Strong understanding of global business rhythms, particularly across EMEA and APAC
- Awareness of regional cultural nuances and time zone optimization
- Technical Proficiency
- Advanced proficiency in Microsoft Office Tools
- Strong experience with collaboration tools (Slack, Teams, Zoom)
- Proficient in project management
- Comfortable working with business systems such as CRM platforms (e.g., Salesforce)
- High standard of document and presentation creation (Word, PowerPoint, Excel)
- Problem Solving & Execution
- Demonstrated ability to remain calm under pressure and adapt quickly to changing priorities
- Strong decision-making capability with minimal supervision
- Proactive mindset—anticipates issues and resolves them before escalation
- Communication & Stakeholder Management
- Exceptional verbal and written communication skills in English
- Confident interacting with senior internal and external stakeholders
- Additional languages relevant to APAC markets are advantageous
