Executive Assistant to the Chairman .
This is a pivotal role supporting the Chairmans personal and business commitments within a dynamic private family office.
The Executive Assistant acts as an extension of the Chairman, managing a broad range of personal and business requirements and ensuring seamless day-to-day operations.
Reporting directly to the Chairman, the role combines high-level diary management, stakeholder coordination, and oversight of personal assets.
Responsibilities will include Provide extensive and proactive diary management, understanding the Chairmans preferences and priorities, identifying and resolving clashes, managing invitations, and ensuring each day is effectively planned.
Organise and coordinate internal and external meetings.
Manage incoming correspondence and emails, draft replies, flag important matters to the Chairman, and ensure documents are prepared ahead of meetings.
Maintain a well-organised inbox and ensure all actions are followed through.
Support the recruitment and onboarding of new hires, helping to ensure the smooth management of the team and that responsibilities are followed through effectively.
Work collaboratively with the Financial Director and accounts department to support the smooth running of financial operations and provide documentation as required.
Organise complex travel arrangements across multiple time zones, including flights, accommodation, chauffeurs, and other relevant requirements.
Oversee all personal and business insurance requirements, including property, vehicles, office, and agricultural assets.
Manage the Chairmans personal assets, including a helicopter and motor fleet.
Coordinate events and other private functions.
Take minutes when required and record key actions and follow-ups.
Coordinate and oversee the smooth running of monthly Board meetings, including diary coordination, meeting preparation, documentation, and follow-up actions.
