This position involves managing hire enquiries, coordinating vehicle movements, maintaining accurate administrative records, and supporting both customers and internal teams to ensure smooth day-to-day hire operations.
Key Responsibilities
- Handle incoming hire enquiries via phone and email, delivering a high standard of customer service.
- Build new customer relationships by proactively contacting prospects to generate additional hires.
- Coordinate hire deliveries, collections and vehicle movements with depots and customers.
- Maintain accurate CRM records including hire activity, customer details, insurance documents and operator licences.
- Manage the shared inbox, ensuring all messages are actioned, organised and archived appropriately.
- Keep shared folders and files updated, reporting any errors and ensuring correct utilisation across the business.
- Provide regular communication and updates to the sales team regarding customer activity.
- Prepare and distribute hire documentation, compliance paperwork and on-hire information.
- Complete digital hire agreements and ensure signed copies are stored correctly.
- Chase depots and customers for outstanding paperwork and documentation.
- Raise advance purchase orders and approve related invoices when received.
- Administer and track purchase orders for all hires.
- Arrange hire cars when required for depot or head office staff.
- Update vehicle movement logs and input live hire data into the operating system.
- Produce daily and weekly Flexi Hire Summary reports.
- Manage toll, bridge and zone movement updates for vehicles and assist with driver movement administration.
- Support planned and reactive vehicle movements for compliance or service requirements.
- Compile reports as required by management.
