Position: Events and Reservations Coordinator

Reports to: Rooms Division Manager / Reservations Supervisor

Location: Aldwark Manor Estate, Aldwark, Nr. Alne, York, YO61 1UF

Hours of work: 24 - 30 hours per week

Aldwark Manor Estate is a privately owned Hotel with Golf nestled in a picturesque village between York and Harrogate. Set in 200 acres of beautiful countryside, this luxury Hotel provides a complete escape for both business and leisure guests and is a popular venue for weddings. In recent years, the hotel has undergone significant investment and renovation, transforming the bedrooms, restaurant, residents’ lounge, sports bar and all public areas to deliver a refined and contemporary guest experience. December marked the completion and opening of the new Salus Spa facilities, further enhancing the estate’s luxury leisure offering. The next phase of development will see the addition of new bedrooms, expanded event spaces and additional treatment rooms, all scheduled to open later this year.

Purpose of the role: To support the smooth running of the Reservations and Events department to ensure calls and enquiries are handled in an efficient manner.

Main duties of the role:

  • To be responsible for delivering high quality reservations booking experience ensuring sales and revenue opportunities are maximised in line with budgeted targets, whilst exceeding customer expectations.
  • To ensure all reservation enquiries are handled in line with company standard.
  • Create quality proposals which fit the client’s requirements.
  • Following up on enquiries.
  • Chasing payment, posting deposits, corrections and receipts.
  • Prepare and communicate Event sheets with relevant detail.
  • Following up post-event for feedback with a future-sales mindset.
  • Event planning liaison with the operational teams.
  • Planning events with attention to financial and time constraints.
  • Support site visits and show rounds for prospective clients.
  • You will be responsible for driving and developing event business into the Hotel by pro-active sales activity.
  • To be confident in handling all types of customers including both direct & agencies, understanding how to adapt techniques and approach.
  • Processing, amending and updating bookings as required.
  • Converting enquiries into sales.
  • Wedding show rounds / proposal and planning.
