Do you have EA experience supporting a dynamic individual at executive level in private equity/fund management? Do you have the credibility to act as ambassador in the office; to be gatekeeper for all business matters? Are you approachable, able to gain instant trust and are you unfazed in a high-achieving environment? Our client is looking for an exceptional EA, with strong emotional intelligence to provide this critical support with pragmatism, efficiency and discretion. This is not hybrid – the nature of this hugely fulfilling role requires your presence 5 days a week in their beautiful office!
What you’ll be doing day to day:
- Proactive and complex diary management for executive (+ 1 other) across multiple time zones (London, New York, Asia), managing competing priorities with sound judgement
- Comprehensive global travel coordination, including itineraries, visas, accommodation and ground transportation, often at short notice or subject to last‑minute changes
- Acting as the primary gatekeeper and first point of contact for internal and external stakeholders, exercising discretion and always representing the executives with professionalism
- Preparation and coordination of Board meetings, including scheduling, agenda preparation, collation and distribution of Board packs, minute‑taking coordination and following‑up on action items
- Meeting preparation more broadly – assembling briefing materials, preparing agendas and tracking follow‑up actions
- Expense management and processing in line with firm policies
- Ad hoc project work as required by executives
- Liaising with PA and wider support team, offering mutual support
The skills you need to bring:
- A minimum of 10 years’ experience as an Executive Assistant, with track record of supporting C‑Suite or Board‑level executives
- Significant experience within financial services essential
- Strong academic performance
- Exceptional discretion and confidentiality – this is non‑negotiable given the seniority of the principals and the nature of the business
- Outstanding organisational skills with the ability to manage multiple complex workstreams simultaneously and reprioritise at pace
- Calm, composed, and effective under pressure, with a proactive and anticipatory approach
- Excellent written and verbal communication skills, with the ability to engage confidently with senior stakeholders
- Advanced proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams) and expense management systems
- A genuine willingness and enthusiasm to adopt AI tools and emerging technologies to drive efficiency and enhance ways of working
