Are you an experienced PA/Administrator from a financial services, professional services, or corporate environment? Our client, a globally recognised investment manager, is looking for a proactive, highly organised individual to provide high-level support to senior leaders and act as a central point of coordination across teams. You’ll quickly become the ‘go-to’ for both executives and wider teams, ensuring seamless day-to-day operations. If you thrive in a fast-paced, collaborative environment where no two days look the same, this could be a great fit. There is flexibility for 1 day a week WFH.
What you’ll be doing day to day:
- Managing a range of complex, confidential administrative tasks with strong attention to policy and process
- Acting as a key point of contact, screening calls, handling enquiries and managing communications professionally
- Coordinating busy diaries, meetings, and travel across multiple time zones, anticipating needs proactively
- Organising and delivering meetings, workshops, and conferences end-to-end, including logistics and materials
- Supporting cross-team projects, research and reporting for senior leaders
- Maintaining accurate databases, shared sites and documentation
- Coordinating executive meetings, including agendas, materials, minutes and logistics
- Preparing correspondence, reports, presentations and handling expenses and records
- Coordinating onboarding processes for new hires, including interviews and team integration
- Supporting department-wide events and key initiatives
- Providing system support and troubleshooting, escalating issues where needed
- Tracking project progress and updating stakeholders on status and risks
- Maintaining and improving workflows, procedures, and documentation
- Mentoring junior team members and promoting best practices
- Identifying and driving process improvements to enhance efficiency
- Proactively anticipating challenges and ensuring smooth operations
- Encouraging collaboration and knowledge sharing across global teams
The skills you need to bring:
- Previous solid experience gained from PA/Admin/Business Support roles, from Financial Services and/or Blue-Chip firms
- Excellent communication skills; verbal, written and interpersonal
- Strong organisational and time management abilities with a focus on efficiency and service
- Proactive, forward-thinking approach with the ability to anticipate needs and build trust
- Strong analytical and problem-solving skills with high attention to detail
- Advanced proficiency in Microsoft 365, advantageous if have exposure to MS Apps, and collaboration tools (Teams, Zoom, Adobe)
- Approachable, with good mentoring skills
- Ability to multitask, prioritise and meet tight deadlines
- High level of accuracy and attention to detail in all work
- Adaptable and flexible in a fast-paced, evolving environment
- Resourceful mindset with a focus on continuous improvement
- Experience coordinating meetings and events across multiple time zones
