Role Overview

We are looking for an enthusiastic, hard‑working and capable EA to support the smooth running of a small but lively office, including extensive diary management and travel organisation. Previous experience in Finance or working as an EA is not necessarily required. Attitude is everything for this role. Ideally we would like someone with a can‑do, muck‑in attitude who will fit in well with our 15 person team.

Duties of the Executive Assistant include:

  • Support the team by organising and prioritising their calendars
  • Coordinating travel arrangements, (domestic and international, including visa applications)
  • Admin support to team members
  • Negotiating and managing relationships and contracts with suppliers
  • Dealing with the maintenance and issues relating to the smooth running of the office
  • Facilities support
  • Purchasing of office supplies
  • Coordinate all travel arrangements, domestic and international, including visa applications
  • Manage London office events (drinks, lunches), Summer Party and Christmas Party
  • Preparing for meetings with external guests and welcoming them on arrival
  • Manage post and courier dispatch
  • Prepare and submit expense claims for the team as required
  • Assistance with distribution of investor documents
  • Point of contact for building management and other office related contractors
  • Cover the Senior EA when they are on leave

  • Highly polished, discreet and emotionally intelligent

  • Ability to work effectively in a team environment and independently
  • Flexible and professional attitude with a willingness to take initiative within areas of responsibility
  • Excellent written, verbal, and interpersonal communication skills

  • Highly collegial and collaborative
  • High proficiency in MS Excel, PowerPoint, MS Office (Outlook) and Adobe Acrobat
  • Strong problem‑solving and communication skills
  • General interest in and knowledge of the investment industry
  • Educated to degree level

About the Company

We are a long‑established, successful and growing private equity investment manager with five partners and ten employees. Based in Knightsbridge, central London, the business operates from a newly refurbished, attractive, open plan office located a short walk from both Knightsbridge and Hyde Park Corner London Underground stations. Comprising one of two Executive Assistants organising the busy schedules of the partners and the wider team. A professional and friendly environment, the role would suit an organised, self‑starting team player that is comfortable multi‑tasking and liaising effectively with senior staff, investors and business owners.
