Responsibilities
- Help to make time in Riverside House an amazing experience for our Alchemmists and visitors, helping support them in using and configuring our flexible space and AV/media assets to best support the team's work.
- Welcome and support new Alchemmists including taking part in the induction.
- Undertake the regular checks that ensure the office is ready to support the day ahead.
- Support Alchemmists in resolving their general queries.
- Manage the Alchemmy office environment, including stock control, ordering and receipt for stationary and consumables.
- Help with security management, including preparation of security passes, locker keys, etc., and maintenance of ISO security standards and suitable records.
- Support arrangements for internal and external team events and socials and support in planning and coordinating client events.
- Liaise with the Riverside House building team to support BAU running of Alchemmy's office, resolve issues and keep improving our working environment including supervising contractors.
- Support administration activities associated with the general running of the business including processing and handling incoming and outgoing communications across telephone, eâmail and post.
- Maintain health and safety administration to support our legislative duty to the Health and Safety at Work Act and includes management of first aiders and fire marshals and desk assessments (DSE).
- Support the management and compliance of the office with respect to being a sustainable workplace.
- Ensure Alchemmists are kept up to date with internal messaging about our office space and messages from the building management, including events and maintenance.
- Reinforce our culture by being a role model for the mindset and behaviours that align with it.
- Communicate and collaborate effectively with all internal and external stakeholders.
- Support with HR administration.
What We Are Looking For
- Previous experience within office administration or facilities.
- Excellent communication and problemâsolving skills.
- A friendly, professional manner and confidence interacting with people at all levels.
- A proactive, improvementâfocused mindset.
- Excellent organisational skills and attention to detail.
- Confident using Microsoft Office 365.
- Handsâon, highly visible role, so you will need to be on site five days a week to support our office and people.
