To lead the safe, efficient and effective operation of the practice dispensary, ensuring compliance with all relevant legislation, NHS regulations and practice policies.
The post holder will oversee dispensary staff including rotas and cover, maintain accurate stock control, support financial and regulatory requirements, and ensure the safe management of medicines, including controlled drugs.

- Leadership and Supervision
- Lead and support dispensary staff in their daily duties.
- Provide training, guidance and supervision to dispensary team members.
- Assist with staff rotas and workload allocation.
- Support recruitment, induction and performance management processes.
- Dispensing Services
- Ensure prescriptions are dispensed accurately, safely and efficiently.
- Maintain compliance with Standard Operating Procedures (SOPs).
- Resolve dispensing queries in liaison with GPs, pharmacists and patients.
- Ensure all dispensing records are maintained accurately.
- Stock Management
- Monitor and maintain appropriate stock levels.
- Order medicines and dispensing supplies.
- Manage stock rotation and expiry date checks.
- Investigate and report stock discrepancies.
- Ensure secure storage of medicines at all times.
- Vaccines and Financial Responsibilities
- Complete end-of-month vaccine stock reconciliations and vaccination counts.
- Maintain accurate vaccine stock records and cold chain documentation.
- Complete VAT returns and associated financial reconciliation processes relating to dispensary activity.
- Assist with claims, rebates and NHS reimbursement processes as required.
- Produce dispensary reports for the Practice Manager and Partners.
- Controlled Drugs
- Maintain controlled drug registers in accordance with legal requirements.
- Conduct and document regular controlled drug stock checks.
- Arrange and oversee the denaturing and destruction of controlled drugs in line with legislation and practice policy.
- Investigate and report controlled drug discrepancies immediately.
- Dispensary Registration and Compliance
- Process patient dispensing registrations, removals and eligibility reviews.
- Maintain accurate dispensing patient records.
- Ensure compliance with NHS dispensing regulations and contractual requirements.
- Support CQC inspections and audits.
- Governance and Quality
- Participate in clinical governance activities and audits.
- Investigate incidents, near misses and medication errors.
- Ensure dispensary SOPs are reviewed and updated regularly.
- Maintain confidentiality and comply with GDPR requirements.
- Ensure compliance with health and safety, COSHH, infection prevention and safeguarding policies.

- Attend team meetings and mandatory training.
