We are a boutique accountancy and tax advisory firm based in Central London, providing accounting, tax and advisory services to private clients, international groups, entrepreneurs and owner-managed businesses. We are seeking an experienced Practice Administrator to take ownership of the operational and administrative functions of the firm. This is a pivotal role suited to someone who understands how an accountancy practice operates and enjoys creating structure, maintaining compliance and ensuring that everything runs smoothly behind the scenes.

The Role

As Practice Administrator, you will be responsible for maintaining bookkeeping records for a portfolio of clients using cloud accounting software and overseeing the day-to-day administration of the practice, supporting the team, managing client workflows and ensuring compliance obligations are met efficiently.

Key responsibilities will include:

  • Bookkeeping, Practice Operations & Workflow Management
  • Processing sales invoices, purchase invoices, bank transactions and journals
  • Performing bank and balance sheet reconciliations
  • Assisting with VAT return preparation and submissions
  • Liaising with clients regarding bookkeeping queries and missing information
  • Supporting the preparation of management accounts and year-end accounts by maintaining accurate accounting records
  • Identifying opportunities to improve bookkeeping processes through technology and automation
  • Managing compliance workflows and monitoring deadlines across accounts, tax and advisory assignments
  • Issuing information requests to clients and proactively following up outstanding records and documentation
  • Maintaining workflow systems to ensure work progresses efficiently and deadlines are met
  • Supporting the partners and wider team with administrative and operational matters

Client Communications

  • Acting as the first point of contact for clients by telephone, email and in person
  • Welcoming and greeting clients and visitors to the office, ensuring a professional and friendly experience
  • Managing and triaging client enquiries appropriately
  • Maintaining excellent client relationships and ensuring a high standard of client service
  • Preparing and filing Confirmation Statements
  • Processing director, shareholder and registered office changes
  • Assisting with company incorporations and identity verification requirements
  • Maintaining statutory records and corporate information

Client Onboarding & Regulatory Compliance

  • Conducting AML and client due diligence procedures
  • Supporting compliance with regulatory requirements, including ACSP obligations and GDPR
  • Maintaining internal policies and compliance records

Billing & Credit Control

  • Managing recurring fee collections through our direct debit provider
  • Monitoring debtor balances and following up outstanding fees

HMRC & Tax Administration

  • Filing accounts and tax returns where appropriate
  • Managing VAT registrations and related administrative matters
  • Liaising with HMRC regarding client queries, penalties and compliance matters
  • Supporting the team with general tax administration

Systems & Database Management

  • Maintaining accurate client records within IRIS and other practice management systems
  • Managing the firm's central email inbox and incoming correspondence
  • Ensuring client information and compliance records remain accurate and up to date

Office & Facilities Management

  • Coordinating meeting rooms and office facilities
  • Managing incoming and outgoing post
  • Supporting the smooth day-to-day operation of the office environment

About You

To be successful in this role, you will have previous experience working within an accountancy practice and a strong understanding of how professional firms operate. You will be highly organised, proactive and capable of managing multiple priorities simultaneously. Most importantly, you will take ownership of your responsibilities and be comfortable working independently.

We are looking for someone who:

  • Has previous experience in an accountancy practice (essential)
  • Understands Companies House and HMRC processes
  • Has experience of AML procedures and client onboarding
  • Possesses excellent organisational and time management skills
  • Is confident communicating with clients and professional contacts
  • Has strong attention to detail and a proactive approach to problem-solving
  • Is comfortable using cloud-based software and practice management systems
  • Has experience with Xero and IRIS (desirable)

We are particularly interested in candidates who enjoy improving processes and identifying opportunities to increase efficiency through technology and automation. This is an office-based position located in Central London. Working hours are Monday to Friday, 9:00am to 5:00pm.
