Primary Purpose and Objectives:

To support the accurate and timely processing of claims and associated financial administration for a major employment programme, completing required checks and maintaining accurate records in accordance with agreed procedures, controls and service standards.

Key Responsibilities

Claims Processing and Financial Administration

  • Process allocated claims and associated information accurately and within agreed timescales.
  • Complete required checks and processing activity in accordance with documented procedures, controls and service standards.
  • Support reconciliations, payment administration and other financial activities associated with the claims process.
  • Maintain relevant claims, payment and exception information accurately within agreed systems and records.
  • Manage allocated workload effectively and contribute to team quality, productivity and timeliness targets.

Records, Evidence and Controls

  • Maintain accurate, timely and audit-ready records to support programme, financial and assurance requirements.
  • Ensure supporting information is complete, appropriately recorded and retained in line with agreed procedures.
  • Apply required checks and controls consistently and maintain a clear and retrievable audit trail.
  • Handle financial, payroll and personal information appropriately, securely and confidentially.

Queries, Exceptions and Escalation

  • Identify missing, inconsistent or unusual information and raise queries through the agreed process.
  • Escalate exceptions, potential errors or matters outside delegated authority promptly.
  • Support the timely resolution of queries by providing clear and accurate information to relevant colleagues and stakeholders.

Collaboration and Service Delivery

  • Work collaboratively with colleagues across Finance, Quality & Compliance, Operations, Employer Engagement, Audit and Shared Services to support the end-to-end process.
  • Communicate professionally with employers, partners, commissioners and other stakeholders through agreed contact routes.
  • Support internal reviews, external audits and assurance activity by providing accurate and accessible records when required.

Quality and Continuous Improvement

  • Promote high standards of accuracy, professionalism and attention to detail.
  • Contribute to improvements in the accuracy, efficiency and consistency of claims and payment processes.
  • Identify recurring issues or areas of risk and raise these with the Finance & Claims Manager.
  • Maintain up-to-date knowledge of relevant procedures, controls and programme requirements applicable to the role.
  • To deliver role responsibilities in line with AKG values and all relevant policies and procedures.
  • Any other duties appropriate to the level of this role, for which the post-holder has the necessary training or experience.

Essential/Desirable Skills, Knowledge and Experience

Essential

  • Experience in a finance administration, claims, payments, payroll, accounts payable or similar processing environment.
  • Strong attention to detail and numerical accuracy.
  • Good organisational skills, with the ability to manage workload and meet deadlines.
  • Good Excel and IT skills, with the ability to work accurately with financial and other structured data.
  • Ability to follow documented processes and controls consistently.
  • Clear written and verbal communication skills, with confidence raising queries where information is incomplete or unclear.
  • Ability to handle confidential and sensitive information appropriately.
  • A reliable, organised and collaborative approach to work.

Desirable

  • Experience within employability, education, publicly funded provision or another regulated environment.
  • Experience of claims, payments, reconciliations or funding administration.
  • Experience supporting audit, assurance or compliance activity.
  • Experience of payroll evidence, grants or employer reimbursement schemes.
