As the business enters an exciting next stage – including expansion within the energy sector and continued diversification of its revenue streams – Akela is seeking to appoint a Digital Construction Systems Lead to implement and manage our CDE along with automation of existing processes and procedures.

Key Responsibilities
  • Document Control and Governance
    • Responsibility for set up, development, management and maintenance of the organisation’s project workspaces and electronic filing structures in Autodesk Forma ensuring that security and access policies are adhered to.
    • Development of CDE procedures for Akela in line with ISO 19650 which the company will be working towards achieving.
    • Lead and implement document control activities for assigned projects, ensuring compliance with client standards, procedures and information management requirements whilst addressing non-conformances.
    • Manage the receipt, registration, classification, numbering, versioning and distribution of documents.
    • Upload, issue, track and manage document workflows, ensuring responses are captured, monitored and circulated appropriately.
    • Conduct quality checks to ensure accuracy and compliance prior to issuing documentation.
    • Ensure all project stakeholders have access to the latest revisions; archive superseded documents appropriately.
    • Generate document status, submission and outstanding action reports.
    • Support audits ensuring procedure and documentation remain compliant with regulatory, client and contractual requirements.
    • Liaise with internal teams, external partners and clients to facilitate document flow and resolve document related issues.
    • Review current systems, procedures and processes as set out within the current IMS (Integrated Management System) and further develop in line with standards for ISO 9001, 14001 and 24001.
    • Assist with ISO audit and compliance process for 9001, 14001 and 24001.
  • Project Coordination
    • Coordinate documentation throughout all delivery stages: Preconstruction, Design, Construction and Handover.
    • Manage and maintain project document and drawing registers.
    • Attend internal and external document control and project progress meetings.
    • Provide updates and insights related to document status and outstanding actions.
  • Team Support & Best Practice
    • Recruit, develop and train Document Controllers, reinforcing business objectives and positive behaviours.
    • Provide and support colleagues, end users and potentially supply chain partners with training and guidance materials on CDE functionality and document control procedures.
    • Promote consistent, compliant information management across all project teams.

Over time, there is also potential for the role to evolve in scope, to encompass and further development of the Companies IMS system as the wider AKELA Group continues to expand. Previous experience in a CDE environment within construction, engineering, energy or similarly project-led environments is essential.
