AIT is seeking a proactive Office Manager to join their team. The ideal candidate will provide comprehensive support, exhibit strong time management skills, and be detail-oriented. The role is responsible for coordinating office services and related activities while maintaining a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and regulatory compliance.
Responsibilities:- Participate as the safety committee chairperson.
- Train new leaders on the expense and travel Concur system.
- Create and process monthly expenses for leaders after approval.
- Log notes and follow up on action items from leadership meetings.
- Manage supplies inventory and order office, warehouse, and cleaning supplies.
- Coordinate U.S. Mail services.
- Update the LAX extension list.
- Organize community events.
- Order calendars and holiday gifts for the station and sales team at LAX.
- Book hotel stays for AIT employees or guests visiting the LAX station.
- Assist HR with photos, remind employees to sign up for new enrollments.
- Assist with audits, fire/customs/TSA inspections, and regulatory compliance.
- Coordinate conference room bookings and calls for the sales team.
- Order business cards for LAX managers and sales staff.
- Coordinate employee luncheons and anniversaries.
- Set up vendors with accounts payable and ensure timely payments.
- Work with external vendors on maintenance and repairs.
- Ensure the facility remains clean and orderly, working with janitorial staff and management.
- Assist with facility upgrades to promote continuous improvement.
- Lead initiatives for recycling electronics and shredding old documents.
- Handle badge setup.
- Perform other duties as assigned.

- Bachelor’s degree preferred.
- 3-5 years’ customer service experience.

- Advanced proficiency in Microsoft Office, especially PowerPoint, Excel, and Word.
- Excellent interpersonal and communication skills.
- Ability to work in a fast-paced, high-volume environment.
- Ability to handle sensitive and confidential matters appropriately.
In addition to your base salary, you may be eligible for bonuses based on performance.
