Role Description

We’re looking for a Bid Coordinator to help us create winning proposals that showcase what Airswift does best. In this role, you’ll work with teams across the business to pull together the right information, shape it into clear and engaging documents, and make sure everything is submitted on time. You’ll be involved in every stage of the bid process - from planning and writing to reviewing and improving - and will play a key part in helping us secure new opportunities.

This is a great role for someone who enjoys writing, organising projects, and working with others. Experience in bid writing or coordination is preferred, we’ll support you with training and development. What’s important is that you’re confident managing deadlines, asking the right questions, and turning ideas into well-presented documents.

Principle Accountabilities:

Bid Management & Coordination

  • Bring together and guide cross-functional teams, setting clear roles and timelines to deliver focused, high-quality bids.
  • Prepare and maintain bid management tools to track progress and ensure compliance with client requirements.
  • Project manage all bid content, coordinating input from subject matter experts and arranging review sessions to meet production deadlines.
  • Identify and resolve issues during the bid process, escalating where necessary.
  • Ensure all submissions are delivered ahead of client deadlines.

Content Development & Quality Assurance

  • Shape compelling proposals that tell Airswift’s story, highlight our strengths, and connect with client needs.
  • Review content at all stages for accuracy, relevance, and compliance, escalating gaps as needed.
  • Develop and maintain a deep knowledge of company services to produce technically accurate and commercially compelling bids.
  • Objectively appraise and enhance contributions from internal teams to ensure clarity and impact.

Creative Presentation & Design

  • Design visually engaging proposal layouts and presentations that align with brand guidelines.
  • Incorporate infographics, charts, and visual storytelling techniques to enhance readability and impact.
  • Ensure consistency in formatting, branding, and overall presentation quality across all submissions.

Coaching & Stakeholder Engagement

  • Support colleagues with practical guidance to help them contribute confidently and effectively to bids and presentations.
  • Facilitate workshops and training sessions to improve internal bid capability.
  • Provide constructive feedback during review sessions to elevate the quality of input.
  • Conduct post-bid reviews and share lessons learned to improve future submissions.
  • Contribute to the development of bid strategies and innovative approaches to increase win rates.
  • Maintain a library of reusable content, templates, and design assets for efficiency.

Skills, Knowledge, and Experience:

  • Strong writing and editing skills, with an eye for detail and clarity.
  • Experience writing or contributing to bids, proposals, or client documents.
  • Understanding of bid management tools or processes.
  • Ability to manage multiple projects and deadlines at once.
  • Comfortable working with different teams and asking the right questions.
  • A proactive approach to problem-solving and organisation.
  • Familiarity with Adobe InDesign, Canva, or other design tools.
  • Exposure to STEM industries or professional services environments.
  • Experience supporting or coaching others in writing or presentation tasks.
