Are you a master multitasker with an eye for detail and a drive for organisation?

Do you thrive in a role where no two days are the same?

At AEC, we’re looking for an enthusiastic and highly organised Fleet Administrator to join our dynamic team.

This is a role that will give operational oversight of a vital company van fleet.

If you love juggling priorities, working across departments, and seeing the direct impact of your work — this is the job for you.

  • What You’ll Be Doing
  • Take charge of the full vehicle lifecycle — from onboarding new drivers to scheduling services and saying goodbye to retiring vans.
  • Liaise with garages and vendors to secure the best maintenance deals and quickest turnarounds.
  • Update the Access Database system with each vehicle/driver with details of vehicle history, servicing, MOT, claims, mileage, etc.
  • Keep our fleet safe, compliant, road‑ready, and cost‑efficient.
  • Deliver weekly performance reports to the Finance Director and spot areas for improvement.
  • Conduct van inductions with all new drivers and lay down how our van policy needs to be followed.
  • Why You’ll Love It Here
  • Massive variety – one day you’re booking in MOTs and services, the next you’re arranging a windscreen replacement or onboarding a new driver.
  • Big impact – you’ll be ensuring our fleet of vans keeps the business moving.
  • Supportive culture – a full induction, mentoring, and ongoing training await you.
  • Progression – career development is something we take seriously.

Qualifications

  • Highly organised with a keen eye for detail.
  • Strong written and verbal communication skills.
  • Ability to handle multiple deadlines and tasks at once.
  • Enjoys a challenge and solves problems proactively.
  • Thrives in a fast‑paced office environment.
  • IT literate and experienced creating Excel spreadsheets.
  • Diplomatic and confident to deal with any van issue that arises and be the office support to our 40‑strong van fleet and site staff driving all over the UK.
  • Excellent communicator via phone, email and Teams.
  • Why You’ll Love Working With Us

From day one, you’ll have a tailored training plan designed to give you a deep understanding of how our business works and how to thrive in your role.

You’ll learn hands‑on from experienced planners in the office, spend time out on site to see projects in action, and collaborate with teams across the business.

We believe in giving you the full picture, so you’re equipped with the knowledge, confidence, and tools to make a real impact.

This is a role where you’ll grow fast, build strong internal relationships, and gain valuable experience across all areas of operations — with plenty of support every step of the way.
