We are seeking a highly organised and detail-oriented administrator to provide top-notch service to staff of all levels within our high-performing team. In this varied role, you’ll be the right-hand person to the Senior HR Manager, responsible for an array of day-to-day HR administration tasks and the champion of our van fleet, ensuring the smooth operation of 40+ vans.

Your Daily Adventures:

  • Van Fleet
  • Coordinating timely vehicle maintenance and repairs
  • Dealing with urgent vehicle issues when they arise
  • Regular auditing, ensuring vehicles are safe and roadworthy
  • Maintaining accurate records, providing reports
  • Liaising with drivers and service providers
  • Coordinating weekly driver checks, acting upon information received
  • Dealing efficiently with any penalties received
  • People
    • New Starters – Completion of induction documentation, ensuring accurate electronic records are maintained
    • Leavers – Sensitive handling of staff resignations and their onward journey
    • Staff changes – Confidentially dealing with all individual staff changes, including healthcare membership, staff skills and training, salary increases, contractual changes, probations etc.
    • Security vetting – Process security clearance applications, DBS checks etc.
    • Holidays and sickness reporting – Processing holidays, actioning queries, recording and dealing with staff absence
    • Appraisals – facilitating and reporting on yearly staff appraisals
    • Maternity / Paternity – accurate coordination from notification to return from leave
    • ISO – ensuring document compliance with ISO standards
    • Dealing with day-to-day queries.

    What We’re Looking For:

    • Experienced – Minimum of 3 years’ experience in administration within a fast-paced environment.
    • Professionalism – Professional demeanour, confidence, and a strong focus on customer service.
    • Strong IT Skills – System oriented.
    • High Attention To Detail – Showcasing precision and a high level of attention to detail, with great written English skills.
    • Great Multitasker – Adaptable and adept at managing multiple tasks in a high-volume setting.
    • High Level Of Confidentiality – Maintains strict confidentiality in all HR matters.
    • Trustworthy – Reliably trustworthy and dedicated to delivering top-tier HR support.

    • Vehicle Knowledge – Knowledge and understanding of vehicles / maintenance.
