The Role

As a People Operations Specialist at Air Apps, you will be at the heart of our HR and recruiting operations. You’ll ensure smooth and timely delivery of key people‑related processes, from recruitment and onboarding to documentation and employee support. You’ll play a critical role in maintaining a compliant, well‑organized, and people‑first work environment. Fully onsite position, based at our office in Lisbon, where you will collaborate closely with cross‑functional teams in person and contribute to a dynamic and fast‑paced environment. We are open to support with relocation efforts.

Responsibilities

  • HR Operations & Employee Support
    • Assist with day‑to‑day HR tasks including payroll coordination, benefits administration, and employee data management.
    • Clarify HR policies and respond to employee inquiries with empathy and accuracy.
    • Support internal HR initiatives, including company‑sponsored people programs and team communications.
    • Take ownership of recurring documentation tasks, such as creating and updating internal HR processes, SOPs, and templates to ensure a compliant and well‑documented HR environment.
  • Recruitment & Hiring Support
    • Manage end‑to‑end recruitment tasks including job postings, candidate sourcing, interview scheduling, and process coordination.
    • Collaborate with hiring managers to track progress, provide candidate updates, and maintain momentum throughout the hiring pipeline.
    • Help create a positive candidate experience from first contact to final offer.
  • Onboarding
    • Coordinate onboarding logistics, welcoming new hires and ensuring a smooth integration into the team.

Requirements

  • Minimum of 2 years of experience in recruiting, including sourcing, interviewing, and negotiating offers — ideally within a consultancy or fast‑paced environment.
  • Hands‑on experience with Applicant Tracking Systems, especially Ashby.
  • Proficient in LinkedIn tools, especially LinkedIn Recruiter, and familiar with other sourcing platforms and talent engagement strategies.
  • Experience supporting HR operations such as payroll, benefits, and employee services.
  • Strong attention to detail and organizational skills, with the ability to manage multiple priorities.
  • Familiarity with the Portuguese labor law framework — you don’t need to be a legal expert, but understanding the impact of current regulations on hiring and employee operations is a significant plus.
  • Excellent written and verbal communication in English; Portuguese proficiency is a bonus.
