An opportunity exists within the Industrial Gases organisation for the position of Receptionist/Administrator working for our Operations Support Team. This role will be based on site in Worcester reporting to the Ops Support Team Lead who assists the Operations Support Manager.
The Receptionist/Administrator will receive visitors ensuring they are aware of our visitor regulations and control the booking of meeting rooms/calendars. They are also responsible for communicating with many team members to highlight safety or other concerns to make sure the building and employees are safe. The role will also provide a central administration support to all areas of the Operations Business, working as part of a team to manage purchasing requests and invoice payments, liaising with internal and external stakeholders, online document management and other administrative duties as required by both the onsite team and central operations support. Always focusing on safety, speed and simplicity to ensure we meet our safety, compliance and regulatory objectives.
The working hours for this role is Monday - Friday 8.30-4.30.
As the Receptionist / Administrator, you will:
- Provide first point of contact for entering site at Worcester, directing visitors and contractors and managing security access and courier deliveries.
- Work as part of a central team as a requisitioner for Operations, dealing with a high level of requests, working to SLA's and ensuring accuracy and efficiency.
- Prioritise safety - manage office access, attend site safety meetings, carry out office BSP (Basic Safety principles).
- Communicate with internal and external stakeholders for site arrival and meeting room bookings.
- Action purchasing requests from multiple sites through a shared mailbox – Identify and apply the appropriate procurement tool for each request - Raise Purchase Requisitions and Purchase Orders in SAP, process via E-form, PCard payments and purchases.
- Demonstrate excellent Vendor invoice management (VIM) adhering to our service level agreements and ensuring items do not go overdue.
- Work with managers & service receivers to ensure goods receipt is carried out for goods and services.
- Work flexibly as part of the Operations Support Team to provide support for various administration tasks as required.
As the Receptionist / Administrator, you already are or have:
- Possess a good basic standard of education including Mathematics, English, Science grade C or above.
- Outstanding customer service, and a passion for helping our customers, staff and visitors.
- SAP Experience desirable – preferably in a Requisitioner Role.
- Attention to detail and conscientious work ethic.
- Passion to deliver excellent customer service.
- Confident PC based computing software including Microsoft Office.
- Good time management and the ability to plan and prioritise tasks to meet the demands of multiple requests.
- Team player.
- Ability to work in a fast-paced team.
