Ainscough Crane Hire, the UK\βs leader in lifting solutions, is seeking to fill a new role in our Heavy Cranes team dedicated to supporting Heavy Cranes & Transport through accurate and effective administration duties associated with Special Projects & Wind Energy. Ensuring that Legal, Compliance and Training records are administered in line with both regulatory and industry guidelines.

Key Responsibilities
- Project Administration: Manage administrative tasks related to Heavy Crane Special Projects, ensuring all Operator/Driver/Vehicle passes and site inductions are valid and recorded in line with customer, site-specific, and Special Projects SOP requirements.
- Stakeholder Coordination: Maintain regular communication with Depots and internal teams to ensure alignment with customer expectations and the latest site-specific requirements.
- Job Tracking & Invoicing: Accurately record all job changes and delays, ensuring timely updates for invoicing and job reconciliation.
- Job Pack Management: Compile and distribute Operator/Driver Job Packs with up-to-date customer/site-specific SOPs and relevant documentation.
- Operational & Compliance Support: Assist the Operations team with maintaining full vehicle and crane compliance, including:
- Monitoring van servicing intervals and crane service schedules
- Tracking and confirming completion of daily and weekly vehicle/crane checks
- Liaising with drivers to ensure compliance with all inspection and servicing requirements
- Ensuring thorough examinations of cranes are completed and documented on time
- Purchase Order Management: Raise and manage purchase orders, ensuring extensions are actioned in line with job scope changes to prevent unexpected invoices.
- Team Support: Provide coverage for the Operational Support, Heavy Cranes & Transport Department during staff holidays or absences.
- Customer & Internal Liaison: Act as a professional point of contact for both internal teams and external clients, ensuring a high level of service and responsiveness.
- Product & Service Knowledge: Maintain a working knowledge of company offerings to support operational activities and customer interactions.
- Return Coordination: Ensure all returns to Head Office, Depots, Customers, and Suppliers are processed accurately and promptly.
- Logistics Support: Coordinate bookings for hire cars, accommodation, medicals, training, and inductions for HCD & Transport personnel.
- Continuous Improvement: Actively seek opportunities to improve processes, systems, and role efficiency within the wider business context.
Person Specification
- Experience in an operations or administrative support role, ideally within transport, logistics, construction, or heavy equipment industries.
- Familiarity with vehicle and equipment compliance requirements (e.g., servicing schedules, daily/weekly checks, LOLER, PUWER regulations).
- Good understanding of health & safety procedures in an industrial or site-based environment.
- Strong customer focus with an understanding of customer relationships and business process.
- IT literate and familiar with Microsoft office products, particularly PowerPoint, Excel and Word.
- Able to communicate at all levels, both in verbal & written form.
- Excellent time management skills.
- Good organisational skills with an excellent attention to detail.
- Adaptable, flexible and resilient to change.
- Good communicator.
