We are currently looking for an Operations Support Admin to join our busy team in London!
Hours of work: Monday to Friday, 40 hours per week
Salary: £30,784 per annum
Contract type: Full time
Operations Support Admin Duties:
- You will plan and schedule daily work, coordinating with technicians to optimise workloads, routes, and appointments.
- You will handle customer enquiries via phone, email, and WhatsApp, providing a professional and efficient service.
- You will process and progress commercial leads, supporting their journey from initial enquiry through to confirmed work orders, while escalating complex sales opportunities where required.
- You will maintain accurate and up-to-date records within the company CRM system.
- You will act as a key point of contact between technicians, managers, and internal departments to support smooth operations.
- You will support the Operations Manager and wider team with general administrative and operational tasks.
- You will manage incoming work requests, ensuring they are accurately logged, allocated, and completed within agreed service levels, while reporting on work order volumes.
- You will support the invoicing process by ensuring accurate job information is captured and provided to Finance.
- You will ensure operational tasks are completed accurately and within agreed timeframes.
Operations Support Admin Requirements:
Essential:
- Experience in a customer-facing role, managing enquiries across multiple communication channels.
- Experience in an administrative or operational support role, including data entry, reporting, and process management.
- Experience working in a fast-paced environment, managing competing priorities and meeting deadlines.
- Experience using BigChange or similar workforce management software.
- Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint.
- Ability to confidently report any issues, wrongful activity, etc.
- Ability to prepare schedule of works, quotations, etc.
Desirable:
- Experience coordinating schedules, logistics, or field-based teams.
- Experience in data management and performance reporting.
- Experience planning and coordinating a large workforce across multiple locations, contracts, or geographical areas.
