Sector: Facilities Management / Mechanical & Electrical (M&E)
Role Type: Helpdesk / Administration Support

The Role

We are looking for an organised and proactive Helpdesk Administrator to support a large Facilities Management organisation within its Mechanical & Electrical (M&E) operation.

This is a busy, system-focused administrative role supporting the management and closure of reactive and planned maintenance jobs. You will work closely with engineers and the wider operational team to ensure faults and jobs are accurately updated, progressed and closed within the relevant systems.

A large part of the role will involve data entry, system updates and contacting engineers to obtain outstanding information and ensure completed works are correctly closed down.

Key Responsibilities

  • Monitor faults, maintenance requests and jobs coming through the helpdesk system.
  • Accurately input and update job information across internal FM systems.
  • Review open and outstanding jobs and identify those requiring further action.
  • Contact engineers to chase job updates and confirm completed works.
  • Ensure engineers provide the information required for jobs to be correctly closed.
  • Close completed jobs on the system accurately and within required timescales.
  • Maintain accurate records and ensure data is kept up to date.
  • Monitor outstanding workloads and highlight overdue or incomplete jobs.
  • Support the M&E operational team with general administration and reporting.
  • Work with engineers and internal stakeholders to resolve missing or incorrect job information.
  • Maintain a high level of accuracy when handling large volumes of data.

About You

The successful candidate will be comfortable working in a fast-paced, system and data-driven environment and will have strong attention to detail.

You will ideally have:

  • Previous administration or helpdesk experience.
  • Strong IT and system skills.
  • Experience working with data entry, job management, CRM or similar systems.
  • Excellent attention to detail and accuracy.
  • Confidence working with large volumes of information.
  • Good telephone and communication skills.
  • Confidence contacting and chasing engineers for outstanding information.
  • The ability to prioritise workloads and manage multiple outstanding tasks.
  • Good working knowledge of Microsoft Office, particularly Excel and Outlook.
  • Previous Facilities Management, M&E, maintenance or engineering administration experience would be advantageous but is not essential.
