Job Description:
To provide support to the executive team of AGS Airports Ltd (Aberdeen, Glasgow & Southampton) including the Chief Executive Officer and Chief Financial Officer, with ad-hoc support to the Chair.
Principle accountabilities:
- To act as a first point of contact for the Executive team and to handle enquiries in a highly professional, sensitive and confidential manner.
- To provide a high level of pro-active executive assistant support including responding to correspondence and emails, diary management and coordinating meetings and events efficiently and effectively with a high degree of accuracy.
- To prepare documentation, including presentations to a high standard following brief instructions.
- To compile reports and prepare minutes from meetings to a high standard.
- To pro-actively manage the Board and Executive meeting schedule, including preparing agendas, organising and issuing Board papers and tracking actions.
- On occasion, accompany the Chief Executive Officer to meetings, including airport visits and attend Executive Committee and Board meetings held at locations other than GLA.
- To assume responsibility for specific activities, including assignments and projects for the Executive team including the AGS Annual Conference.
- Provide 'office management' for the GLA admin office.
- Accountable for the line management of the Executive Assistant team, including performance management, coaching, workload oversight, and fostering a collaborative working environment.
Qualifications:
- Proven track record of success in an executive assistant role.
- High level of written communication skills, demonstrated by ability to produce reports, minutes and draft correspondence with a high level of accuracy.
- A confident and professional manner; able to deal with a range of stakeholders including shareholder representatives, business and political leaders and colleagues effectively.
- IT literate, particularly skilled in MS Office; Word, Excel and PowerPoint with the ability to produce high calibre outputs.
- Demonstrable experience of proactively managing, on behalf of a senior team, inboxes, correspondence and diaries.
- Demonstrable strong organisation and planning skills.
- Experience of working with sensitive and confidential information in the appropriate manner.
- Flexible approach, friendly manner and a positive attitude.
- A good fit with our Airport culture and values.
- Ability to understand our Business Plan, objectives and priorities and provide support accordingly.
