As part of our ongoing recruitment partnership with a growing Aberdeen-based organisation, Agilient Talent Partners is pleased to be recruiting for a Service Administrator to join their team on a full-time, permanent basis. With the business preparing to move into its new facility in Altens, this role offers the opportunity to join at an exciting stage of growth and play an important role in supporting customers, engineers and operational teams across the business.

Purpose of the Role

The primary purpose of the Service Controller is to coordinate and support the effective delivery of service operations, ensuring a high level of customer satisfaction and efficient utilisation of engineering resources.

Roles & Responsibilities

  • Coordinate the scheduling and communication of service activities, including arranging travel and accommodation for Service Engineers when required.
  • Allocate work schedules and service assignments to engineers.
  • Prepare and issue job reports, service documentation and customer reports.
  • Communicate work schedules and service requirements to engineering personnel.
  • Act as a key point of contact for customers, providing updates and responding to enquiries.
  • Compile, complete and present service reports to customers.
  • Manage and process warranty claims.
  • Review and manage engineer timesheets.
  • Coordinate and administer annual leave requests for engineering personnel.
  • Maintain accurate service records and documentation.
  • Ensure high standards of housekeeping and organisation within the department.
  • Support business development activities by assisting the sales team and helping to identify opportunities within the existing customer base.
  • Undertake any additional duties as reasonably required.

Skills & Experience

Essential

  • Previous experience within a service, scheduling or coordination environment.
  • Strong communication skills with the ability to build effective relationships with customers and colleagues.
  • Excellent administrative and organisational skills with a high level of attention to detail.
  • Good working knowledge of Microsoft Office applications, including Word, Excel and Outlook.
  • Ability to prioritise workload effectively in a fast-paced environment and meet deadlines.

Desirable

  • Familiarity with purchasing processes and supplier coordination.
  • Experience supporting customers across multiple locations or on a national basis.
  • Experience coordinating field-based engineers or service personnel.
  • Experience working within an engineering, industrial or technical service environment.
