We are looking for a Business Development Coordinator to provide effective administrative and coordination support across Agilia's business development function. Working closely with the Business Development Manager and the Senior Business Development Manager, this role is central to the smooth day-to-day operation of the team and the timely delivery of high quality bids, proposals, and reporting.

Company

Agilia is a specialist infrastructure consultancy operating at the forefront of some of the most exciting and challenging infrastructure projects in the UK and across the world. Established in 2017, our team now comprises a growing number of infrastructure professionals with experience covering all major infrastructure sectors. Our joint CEOs were both key members of the client team responsible for the £4.2 billion Thames Tideway Tunnel project. Within our Senior team we possess a particularly strong record in the Water and Energy sectors.

The key strategic objectives of Agilia are to:

  • Build a leading-edge consultancy with world class capability that provides clients with the benefit of first-hand innovative experience in the development and delivery of mega projects, whether publicly or privately financed.
  • Aggregate senior and early career talent so that the current infrastructure leaders may help form future leaders in the field of infrastructure.
  • Provide opportunity to groups that have been historically less well represented within our industry.
  • Be and remain connected with the communities that we ultimately serve.

Responsibilities & Tasks

The Business Development Coordinator will play a central role in the day-to-day operation of Agilia's business development function. Key responsibilities will include:

  • Inbox & Correspondence - Take primary responsibility for managing the Business Development shared inbox and CRM inbox, triaging incoming enquiries, flagging time-sensitive items, and ensuring nothing is missed.
  • Tender Portal Management - Managing the company’s presence on key tender portals, undertaking daily checks and reporting on opportunities.
  • CRM & Stakeholder Support - Assist with maintaining accurate and up-to-date stakeholder information within the CRM system, including logging contact details, relationship updates, and activity records.
  • Tender Coordination - Provide practical coordination support across live pursuits, including scheduling kick-off, storyboarding, and review meetings; chasing authors for contributions; quality assuring inputs; tracking internal deadlines; and assisting with document formatting, compilation, and submission logistics.
  • Tender Support - Accurately complete all Pre-Selection Questionnaires to guarantee company compliance, fulfil procurement criteria, and secure placement on tender shortlists.
  • BD Library & Collateral - Support the maintenance and organisation of the Business Development library, ensuring that CVs, case studies, and sector and service line briefs are filed correctly, version-controlled, and kept current and to a high quality.
  • Reporting & Governance - Assist in the preparation of draft pipeline reports, meeting agendas, and other internal documents to support governance and reporting processes.
  • General Administration - Provide broader administrative support to the Business Development team as required, including diary management, document formatting, and proactive liaison with internal stakeholders.

Skills & Experience

  • Previous administrative or coordination experience, ideally within a professional services, consultancy, or infrastructure environment.
  • Strong organisational skills and a high level of attention to detail, with the ability to manage multiple concurrent tasks and deadlines.
  • Experience with Business Development processes and CRM platforms.
  • Confident user of MS Office, particularly Outlook, Word, and Excel.
  • Clear written and verbal communicator, comfortable engaging with stakeholders at all levels.
  • Proactive and self-directed, with a professional and reliable approach to managing competing priorities.
