This team collaborates closely with the marketing, ecommerce, merchandising and design production team to produce forward thinking creative and trade specific imagery. The Creative Sample and Production Coordinator is specifically responsible for the complete co-ordination and organisation of product samples from production and press to creative, e-commerce and ensuring a smooth exchange between departments. This role will assist on both studio and locations shoots, including sample set up and breakdown. The role will also assist and manage the image selection, upload, retouch comments of Ecommerce imagery.

Main duties and responsibilities

  • Sample Coordination
    • Track and manage samples across the creative and ecommerce department for the use of shooting.
    • Manage the correct storage and labelling of the Production samples that are used as a business reference post Ecommerce shoots.
    • Sourcing samples from all relevant teams such as Press, Production and Tech prior to the shoots (including but not limited to Ecommerce, Campaign, Still Life and Lookbook shoots).
    • Organisation of product packed on shoot day, hung and steamed within timely manner.
    • Packing of product post shoot to ensure product is packed in a conscientious manner to avoid damage and maintain re-sellable condition (i.e. swing tags).
    • Manage the handover post shoot for product being with correct department.
    • Maintaining the Styling Kit, ensuring it is kept in top condition and in stock, and referring back to the shoot list before the Ecommerce shoot to check if any additional styling pieces need to be sourced.
  • Ecommerce shoots
    • Ownership of tracking go-live date for product launches, coordinating with Ecommerce team and Production.
    • Requesting samples from the production team in line with the seasonal product launches (e.g. product go-live date online) and photography critical path.
    • Update the status of samples within the Ecommerce shooting process and log live dates.
    • Managing the Ecommerce image select process on priorities with the Ecommerce Team and track the product status through the retouching process until live on site.
    • Managing the flow of imagery into the asset library, to be used by Ecommerce team.
    • Creating the shoot list for shoot days and ensuring we are keeping on track throughout the day.
    • Reviewing of the assets and retouch, liaising with Design on their comments and ensuring consistency with delivery of assets.
    • Uploading and applying notes to ecommerce images on our third-party retouching. Quality control of the file naming and saving.
  • Flatshot Shooting
    • Manage the coordination and delivery of samples for flat shot shooting to align with online launch dates.
    • Review photography and colour check across samples.
  • Product
    • Knowledge of product collections, product names and product drops.
    • Confirming and circulating the product shot post shoot to the Press, Marketing, Windows and Merchandising teams enabling the teams to plan before assets delivery.
    • Understanding from Merchandising and Buying any potential impact on delivery on products to inform team pre shoot.
  • Campaign/Lookbook Support
    • Supporting the pre-production of campaign/lookbook shoots with administrative tasks.
    • Responsible for creating outfitting documents and taking pictures of signed off outfits ready to be circulated to the business for approval.
    • Manage the set up of styleout days, supporting the third party stylists with lookbooks, and working style documents.
    • Supporting with the set up and execution of model casting.
    • Filing and recording of model details.
    • Cultivating relationships with these teams to ensure AP orders necessary samples across larger sizes of key timings and dates for ordering.

About You

  • Highly organised, detail-driven coordinator who thrives in fast-paced creative and ecommerce environments.
  • Confident managing product samples end-to-end across production, press, creative, and ecommerce teams.
  • Experienced supporting studio and location shoots, including shoot lists, sample prep, set-up and breakdown.
  • Strong eye for imagery, with hands-on experience managing selects, retouch notes, QC, and asset delivery.
  • Proficient in Excel/Google Sheets. Knowledge in Adobe Creative Suite or Capture One a bonus.
  • Comfortable tracking critical paths, go-live dates, and multiple priorities while keeping stakeholders aligned.
  • Collaborative, proactive, and calm under pressure.
