We are looking for a Warehouse Administrator to join our Operations team at Middleby UK. The successful candidate will provide administrative and coordination support to the warehouse team, helping to organise, monitor and control the flow of goods. This includes accurate scheduling, system management, documentation and communication with internal departments and external service providers. By ensuring information accuracy and process compliance, this role enables efficient warehouse operations and on-time service delivery.

Working Hours: 37 hours per week, Monday to Thursday 9:00 - 17:00 and Friday, 9:00 - 16:30

Key Areas Of Responsibility:

  • Scheduling Deliveries and Shipments: Coordinate and monitor outbound deliveries and shipments, ensuring all movements are correctly scheduled, tracked, and completed within agreed timelines.
  • Order Processing and Despatch Administration: Manage despatch administration for all customer orders, including Chain Accounts, ensuring orders are released accurately through the warehouse management system and aligned with stock availability.
  • Supplier and Carrier Coordination: Act as the primary administrative contact for couriers, carriers, and freight partners, confirming bookings, delivery requirements, and service performance.
  • Returns and Collections Coordination: Arrange and track collections for damaged or returned goods, working closely with Sales and Accounts to ensure accurate documentation and timely processing of credit notes.
  • Inventory Administration: Support inventory control by maintaining accurate system records, monitoring stock movements, and escalating discrepancies to the appropriate operational teams.
  • Compliance and Documentation: Ensure all transport, shipping, and warehouse documentation complies with company procedures, legal requirements, and industry regulations.
  • Issue Resolution and Escalation: Identify and coordinate the resolution of operational issues such as delivery delays, damages, or system errors, escalating where required to minimise business impact.
  • Tracking, Reporting, and Data Accuracy: Maintain accurate records of shipments, inventory movements, and delivery schedules. Prepare routine reports and provide operational updates to management.
  • Process Efficiency Support: Assist in reviewing transport data and operational information to support cost control, route optimisation, and continuous improvement initiatives.
  • Health and Safety Compliance: Support a safe working environment by adhering to all health and safety policies and promptly reporting hazards, incidents, or near misses.

Essential Skills And Knowledge:

  • Previous experience in an administrative or coordination role within a warehouse, logistics, or distribution environment.
  • Strong organisational and time management skills with the ability to manage multiple priorities.
  • Clear and professional communication skills, with the ability to liaise effectively across departments and with external partners.
  • Good numeracy skills and attention to detail.
  • Working knowledge of warehouse and distribution processes.
  • Understanding of Health and Safety and security procedures.
  • Competent user of Microsoft Office applications and Warehouse Management Systems.
