We are now looking for an Assistant Facilities and Operations Manager to join us on a full-time, permanent basis.

The Role

As our Assistant Facilities and Operations Manager, you will support the safe, efficient and compliant running of the Aga Khan Centre, helping to provide high-quality spaces for residents, employees, students and visitors. Working closely with the Facilities & Operations Manager, you will help manage the delivery of proactive and reactive maintenance across the building, covering repairs, plumbing, air conditioning, electrics, building fabric, health and safety and emergency support.

You will provide practical technical support, co-ordinate contractors, oversee works and ensure maintenance systems, supplier reports and compliance records are kept up to date. Additionally, you will:

  • Support hard and soft facilities management services
  • Act as a first point of contact for technical queries
  • Manage contractor follow-up and supplier performance records
  • Maintain CAFM and maintenance reporting systems
  • Support health and safety checks and compliance activity
  • Assist with operational planning and budgeting
  • Support building requirements for large and complex events
  • Help supervise, coach and mentor building management staff

About You

To be considered as an Assistant Facilities and Operations Manager, you will need:

  • Experience planning programmes of work for maintenance in accordance with the building’s requirements and identifying gaps in the maintenance strategy
  • Experience managing complex mechanical, electrical and plumbing systems
  • Experience managing planned preventative maintenance for hard and soft services
  • Staff management experience
  • Experience managing third-party contractors
  • Experience working in a complex, multi-stakeholder environment
  • Experience identifying trends and developing/implementing management reports
  • Experience in a similar field, e.g. school, university or charity
  • Knowledge of statutory legislation (Pressure Systems Safety Regs, HSG 274 Parts 1, 2, 3, 17th Edition Electrical Regs, LOLER, Working at Height Regs, etc.) and to be capable of verifying certification relating to the relevant statutory legislation
  • A thorough understanding of building systems (HVAC, electrical, plumbing, fire safety)
  • Working knowledge of a CAFM system (Concept Evolution, TABS FM, etc.)
