About AFME

AFME is the leading trade association for the wholesale banking industry in Europe focusing on a wide range of markets and banking regulation issues and offering a pan‑European perspective. Our events bring together influential industry leaders, policy makers, regulators and other stakeholders from across the financial markets to engage on the most pressing issues facing capital markets in the EU and UK. We host a dynamic calendar of annual events, including meticulously curated conferences, topical webinars and networking dinners, which give participants the chance to engage with thought‑provoking content, exchange ideas and make valuable connections.

We are looking for an Events Graduate to work alongside our senior event managers and administrators on a wide range of projects, from conferences to seminars, webinars and dinners. You will get the opportunity to assist the team on their events and gain an understanding of the complete planning process. This graduate programme is a great chance to understand the key components of the events industry, as well as the chance to develop important skills that are easily transferable to future employment.

Key Responsibilities

  • Delegate management – data collation and input for events, i.e. event registrations, mailing lists and updating contact details
  • Assist with enquiries from delegates
  • Send, collect and collate speaker/sponsor materials, engaging with external partners to ensure sponsor deliverables are received and accurately stored in good time such as company logos & descriptions, delegate names and agreed marketing materials
  • On direction from event or sponsor manager, raise sponsor contract and invoices and monitor payments, including chasing outstanding payments
  • Liaising with suppliers and contractors, including researching new suppliers, obtaining quotations for services, providing cost comparisons
  • Assisting on venue research, sourcing, and liaison
  • Assist team members with pre‑event administration and co‑ordination tasks such as preparing delegate lists, name badges, signage, collecting and packing event material to send to venues, shipping, and delivery, etc.
  • Supporting on‑site at events, when appropriate
  • Collation and reporting of post‑event feedback evaluations
  • Engage with internal business divisions to facilitate effective support in the delivery of all events

Event Management:

  • Manage small AFME events, such as the Summer Party or an AFME member seminar. Responsibilities would include:
  • Venue sourcing & management
  • Budget management
  • Business partner/stakeholder management
  • Work with the Marketing Manager to produce event marketing and communication strategies to support promotion and attendance in line with AFME brand values

Event Tech:

  • Assist with setting up and testing of event registration/website pages
  • Update the website with speaker and sponsor information; make additional amendments as required and advised
  • Preparation and collation of delegate reports and production of attendee lists
  • Data cleaning/management
  • On events which have an event app, upload content to the app

Research:

  • On an ad hoc basis, support the sponsorship sales team to research companies and find contacts for potential new sponsors of our events

Skills, Knowledge and Expertise

Essential:

  • Enthusiastic and proactive candidate with good organisational skills and a positive attitude
  • Excellent oral and written communication skills
  • Able to follow instructions and carry out agreed tasks within given deadlines
  • Strong attention to detail
  • Reliable with good time keeping
  • IT literate, especially with Microsoft Office

Desirable:

  • Knowledge of event registration systems (ideally with a CRM system)
  • Other European Language
