A focused short-term consultancy for a Power BI / Xero specialist to help a growing UK charity automate financial reporting and turn finance data into clearer, faster management insight. Our partner is a UK charity entering a new phase of growth and looking to strengthen how financial information is captured, reported and used for decision-making.

The organisation currently uses Xero for finance and has an existing Excel-based financial dashboard, with reports downloaded manually from Xero. They are now seeking an experienced consultant to help automate this process by integrating Xero data into Power BI, where the organisation already holds wider organisational performance dashboards. The aim is to create a more efficient, reliable and timely financial reporting process, reducing manual downloads, spreadsheet manipulation and the risk of reporting errors.

Scope of work

  • Requirements gathering and dashboard design: review the existing Excel-based financial dashboard, reporting requirements, KPIs & source reports currently downloaded manually from Xero.
  • Xero data integration: configure a secure connection between Xero and Power BI, using the Xero API or an appropriate approved connector, to automatically extract the financial data and reports required.
  • Data transformation and modelling: develop Power Query and data model structures to cleanse, transform, validate and consolidate Xero data into a format suitable for reporting and analysis.
  • Power BI dashboard development: build an interactive Power BI dashboard that replicates and enhances the existing Excel dashboard, including key financial metrics, income and expenditure reporting, balance sheet, cash flow and management KPIs.
  • Automated refresh and governance: configure scheduled data refreshes, security permissions and data validation controls to support accurate, up-to-date reporting and reduce reliance on manual report downloads.
  • Testing, documentation and handover: carry out user acceptance testing, resolve any issues, document data sources and refresh processes, and provide knowledge transfer to finance team users and administrators.

Person specification

This opportunity would suit a consultant with strong experience in:

  • Strong systems/IT skills including Power BI dashboard development, Xero integrations, Xero API or approved Xero connectors, and Power Query and data modelling.
  • Management reporting, financial KPIs and dashboard design.
  • Financial reporting automation.
  • Documentation, training and handover to finance users.

Timing: Expected to start in early 2027

Estimated input: Approximately 5–10 days, subject to consultant review

Location: Remote / hybrid in the UK depending on availability and project needs
