About the Role

This role sits at the heart of the patient journey and is primarily focused on patient enquiries, consultation bookings, lead follow-up, sales conversion and patient relationship management. The role is approximately 90–95% focused on sales, enquiries and lead conversion, with some involvement in marketing support, reception cover and assisting the wider clinic team where needed. Initially, the role will involve a strong shadowing and training period. Ideally, for the first 1–2 months, the successful candidate will spend 1–2 days per week in Essex and the remaining days in clinic. This period will be focused on learning the lead management process, patient journey, systems, doctors’ approach and wider clinic operations, while building a strong understanding of how enquiries, follow-up and conversion are managed within the business. Over time, the role is expected to become more hybrid, depending on performance, training and business needs.

Key Responsibilities

  • Manage patient enquiries via phone, email and online channels
  • Respond to enquiries in a warm, professional and timely manner
  • Convert enquiries into consultations and treatment bookings
  • Proactively follow up leads and nurture prospective patients through the decision-making process
  • Update and maintain the sales / leads document accurately and manage role related administration effectively
  • Track patient status, follow-up activity and conversion opportunities
  • Be methodical and consistent with lead management and follow-up
  • Guide patients through treatment options in a clear, compliant and reassuring way
  • Work closely with the clinic team and doctors to ensure a smooth patient journey
  • Support repeat bookings, patient retention and clinic growth
  • Bring ideas where appropriate around patient communication, campaigns, partnerships or sales improvement
  • Meeting KPIs and targets consistently
  • Support reception or the wider clinic team when needed

Who We’re Looking For

This role would suit someone who is warm, organised, commercially aware and confident speaking with patients. The ideal person will be methodical with follow-up, strong on administration, excellent on the phone and able to build trust with patients quickly. They should enjoy consultative sales building strong patient relationships. The clinic is open to different levels of experience, from a developing patient advisor through to a more experienced patient liaison/ sales consultant who can bring additional structure and ideas and grow with the business.

Experience in aesthetics, cosmetic medicine, private healthcare, wellness, luxury service or a similar premium environment

  • Strong experience handling enquiries, bookings and follow-ups
  • Confident phone manner and excellent written communication
  • Highly organised and methodical with tracking leads and updating records
  • Commercially aware, with an understanding of conversion and patient follow-up
  • Warm, professional and personable
  • Comfortable working independently once trained
  • Experience with patient journeys, consultations or treatment-related conversations
  • Experience in a doctor-led or Harley Street-style clinic
  • Experience or similar exposure to medical-grade skincare / practitioner-led patient journeys
  • Understanding of skin health, aesthetics and patient decision cycles
  • Experience improving enquiry handling, follow-up processes or sales journeys
  • Interest in marketing, campaigns, partnerships or business growth

Working Hours

Working hours can remain flexible at this stage and will be finalised with the right candidate. The clinic is open Tuesday to Saturday, and the role will include a mix of clinic-based, training and remote working once settled.
