Salary: £32,000–£36,000 per annum (DOE) + progression

Working Hours: 11:00–19:30 (1 hour lunch), Full-time, Includes weekend work (roughly 2 weekends per month (Saturday & Sunday Inclusive), with time off in the following week)

About the Clinic:

A luxury, independent aesthetic clinic based in the heart of Hampstead is looking to bring in a Senior Clinic Coordinator to support the continued growth of the business. This is a beautifully designed, high-end clinic with a strong focus on patient experience, attention to detail, and delivering exceptional results in a calm, boutique environment. The team is close-knit, supportive, and takes real pride in what they do. This is not a high-volume, rushed clinic. It’s about quality, relationships, and doing things properly.

About the Role:

This is more than a front of house role. You’ll be the operational heartbeat of the clinic, owning the patient journey, managing the diary, and ensuring everything runs smoothly day to day. You’ll work closely with the Clinic Manager and Founder, with real opportunity to grow into a second-in-command position as the business continues to expand. This role would suit someone confident, well-presented, and naturally personable. Someone who communicates well, takes ownership, and isn’t afraid to speak up when something needs improving. A background in aesthetics is ideal, but candidates from luxury hospitality, dental or high-end customer service will also be considered if they understand premium client experience.

Key Responsibilities:

  • Own the end-to-end patient journey, ensuring every interaction is professional, warm, and seamless
  • Manage practitioner diaries, optimising bookings and resolving scheduling challenges
  • Handle enquiries via phone, email, and social media in a timely and knowledgeable manner
  • Maintain a high level of clinic presentation at all times, reflecting a premium brand
  • Oversee patient billing, payments, and end-of-day financial reconciliation
  • Manage stock levels and supplier relationships, ensuring the clinic is always fully prepared
  • Support smooth daily operations alongside the wider clinic team
  • Uphold clinic standards, policies, and procedures
  • Work towards performance targets set by the Clinic Manager

About You:

  • 3–5 years’ experience in a senior front-of-house, coordinator, or administrative role
  • Ideally from aesthetics, private healthcare, dental, or a luxury customer-facing environment
  • Highly organised with strong attention to detail
  • Confident communicator who is professional, well presented, and personable
  • Calm under pressure and able to solve problems proactively
  • Takes ownership and enjoys responsibility
  • Understands what exceptional, high-end client experience looks like
