Payroll Administrator EMEA | London | FTC – 12 Months

This is a newly created role within the Payroll Team and will be a critical role to underpin and support the wider team to deliver the Europe payrolls accurately and on time. You will act as a first point of contact for employee queries and payroll processes and will work closely with payroll team members to deliver a consistently excellent employee experience.

As Payroll Administrator EMEA you will be primarily responsible for the collation of payroll data and manually populating into templates for upload by our outsourced payroll providers, according to each country\’s payroll cycle and process. You will also have the opportunity to support key payroll processes across all countries and fully own the administrative elements for payroll.

Role responsibilities include, but are not limited to –

Collaborate and partner with the wider payroll team to support administrative processes

Collating hours / payments submitted in Workday (HR system), transcribing into payroll providers\’ templates

Produce validation and exception reports, checking for missing information and anomalies before submission to payroll providers

Manual processing – adding payroll inputs to Excel

Support the calculation of commissions, previous month adjustments, downloading reports, adding payroll inputs to the templates etc. (with training)

Act a first line contact for high volume payroll queries via ticketing system (Zendesk), ensuring queries are responded to in a timely manner within service level agreements

Supporting Senior and Payroll Officers with the issuing and logging of documentation for various European countries

Work with the payroll providers to ensure that any queries that cannot be resolved internally are resolved in an efficient manner and within the SLA

Co-ordinate and support the payment of bonus and annual salary review data with the third-party payroll providers

Deal with third party and local authority earnings enquiries and queries, e.g. financial references, and provide ad hoc requests for information from external bodies

Liaise with other departments, ensuring queries related to Payroll activities are resolved in a timely manner

Maintain the Payroll Knowledge Base ensuring processes and procedures are current, effective and translated (as required) specific to each country

Support the development of payroll communications with the wider team, ensuring managers are aware of timelines and actions required

Support the maintenance of training materials, payroll process maps and documentation, training managers and employees as required

Support systems testing and project work as required

Ownership of the central payroll folders and downloading content for the team

Download Workday reports for the team

Emailing payslips, p60s, P45s

Working with our Retail scheduling/Time and Attendance system (Storeforce) – running and saving reports, entering employee information to various systems for Europe markets

Uploading maternity documents to CloudPay to support the creation of schedules

Maintaining sick leave trackers for multiple markets including manual entry of employee sick/accident information to the Visana portal, liaising with Visana directly for employees on long-term sick leave (CH)

This is a full-time position on a 12 month fixed-term contract, operating with a hybrid working pattern, based at Aesop’s head office in London Bridge.

What we are looking for

Intermediate to Advanced Microsoft Excel skills (VLOOKUPs, IF Statements, Pivot Tables etc.)and keen to build knowledge further

Demonstrable experience across EMEA payrolls preferred, however UK payroll experience with a willingness to learn new markets will be considered

Understanding of market-specific payrolls and administration from start to finish

Experience of working with an outsourced service model

Comfortable using HRIS software (Workday preferable) including reporting and Time & Attendance applications

Thorough attention to detail, able to spot inconsistencies/mistakes in data

Flexible approach and the professionalism to handle sensitive and confidential information

Good communication and organisation skills with the ability to work on own initiative and under pressure in order to meet tight deadlines

Open mindset and deep curiosity seeking to understand others, listen without judgement and act on diverse perspectives

Ability to communicate considerately across email, explaining issue resolutionto employees
