As the business continues to develop, we are looking to strengthen our internal systems and business support function to ensure we have the right processes in place to support future growth of the company.

We are looking for an experienced, highly organised and proactive Business Support Manager to join our team. This is a key role within the business, with responsibility for the smooth running of our day-to-day business support function. Working closely with the Directors and wider team, you’ll take ownership of a varied range of responsibilities across finance administration, payroll support, employee training and records, compliance, vehicles and general business administration. We’re looking for someone who is confident taking ownership of their responsibilities, managing their own priorities and proactively keeping on top of upcoming requirements and deadlines. As Aermech continues to develop, there may be scope for the successful candidate to help shape both the role and the systems and processes that support the business.

Key Responsibilities:

  • Managing day-to-day finance administration using Xero
  • Processing supplier invoices and preparing payments for approval
  • Completing bank, company card and expense reconciliations
  • Maintaining accurate receipts and financial records
  • Supporting quarterly VAT administration
  • Maintaining employee, holiday and absence records
  • Maintaining the company training matrix and monitoring training and certification expiry dates
  • Coordinating and booking employee training
  • Managing ISO, ECITB training administration and associated records
  • Coordinating new-starter documentation
  • Maintaining company vehicle, MOT, servicing and maintenance records
  • Monitoring company licences, registrations, subscriptions, renewals and compliance requirements
  • Setting up new customers and suppliers
  • Maintaining effective filing and business administration systems
  • Managing general office requirements
  • Providing business support to the Directors and wider team
  • Developing systems to effectively manage recurring tasks and deadlines
  • Identifying opportunities to improve and streamline existing processes

About You:

  • Experienced in office management, business administration, finance administration or a similar role
  • Experienced and confident using Xero
  • Experience with invoicing, payments and financial reconciliations
  • Highly organised and proactive
  • Good team player
  • Confident managing their own workload and priorities
  • Confident communicating with colleagues and external organisations
  • Interested in improving systems and developing more efficient ways of working
  • Competent using Microsoft Office, particularly Excel, Word and Outlook

Experience of ECITB, training administration, ISO, Human resources, fleet management or working within an engineering, construction, manufacturing or technical environment would be advantageous but is not essential.
