Reporting to the Safety, Security and Compliance Manager (SSCM), the Management System Officer will be responsible for conducting assurance audits and inspections as part of compliance monitoring system as well as the effective development, administration and maintenance of the Safety Management System (SMS).
Your responsibilities as a Management Systems Officer will include:
- Planning and conducting audits/inspections of Aer Lingus UK and its contracted/subcontracted suppliers as part of the audit program.
- Review applicable regulatory standards for each audit and preparation of documentation, including updating checklists.
- Organisation of audit opening and closing meetings to ensure that the scope of audit and any nonconformities are fully understood by the auditees and responsible Nominated Persons (NP), and timescales for closure agreed.
- Assisting NPs and responsible operational managers with root cause analysis of findings and the development of corrective action plans (CAP) when required.
- Tracking and reviewing CAPs for timely completion, accuracy, and effectiveness.
- Reviewing and processing safety reports to conclusion, including the submission of MORs to the CAA.
- Conducting safety investigations into what happened (or could have happened) and why, as directed by the SSCM.
- Development and delivery of Safety Training to employees.
- Development and coordination of change management and associated Hazard Identification and Safety Risk Assessments.
- Administration of the QPulse and Safety Net Management system databases.
- Reporting on the results of the compliance monitoring programme and audit plan progress, non-conformances and safety reports in weekly meetings and safety and compliance action group meetings, making recommendations for improvement.
- Generating compliance and safety statistical reports as required by the SSCM.
- Assist the SSCM in exercising the Emergency Response Plan (ERP).
- Development and production of safety communications.
- Continuously monitors changes in legal framework relevant to the management system.
- Undertaking general administrative tasks in support of an effective management system as directed by the SSCM.
- Undertaking any reasonable duties in accordance with the general role requirements and being flexible and pro-active with changing priorities and focus.
- Representing the team at departmental Safety Action Groups and other forums, including Reliability and Technical Data Review meetings.
Your qualifications and key criteria
- Significant previous experience in an Airline operations and Continuing Airworthiness (Operations Control, Crew Planning, Crew Control, Flight/Cabin Operations, CAMO).
- Good knowledge of national and international aviation safety regulations, in-depth knowledge of Regulation No 965/2012 Air Ops, Regulation No 1321/2014 – Continuing Airworthiness, Regulation No1178/2011 Aircrew.
- Auditing experience and accredited auditing qualification (ISO/IOSA Lead Auditor).
- Experience and strong knowledge of Safety Management Systems, risk management and the conduct of safety investigations.
- Knowledge of aviation legislation, regulations and protocol of both UK CAA, EASA, ICAO regulations and recommended practices.
- Organised, with proven administration skills and strong attention to detail.
- Ability to work under pressure and is structured, logical and methodical.
- Highly motivated, self-starter who’s proactive and dynamic and able to work autonomously.
- Able to demonstrate experience of producing accurate, concise and clearly written reports.
- Proven interpersonal skills – personable, tactful, diplomatic, and discrete.
- Adaptable and creative whilst respecting processes and working with clear systems and within protocols.
- Comfortable presenting training to large groups of people.
- Must have a commitment to continued professional development and be prepared to undertake further training as required to ensure that the skills required in this role are maintained.

- Self-motivated with a strong sense of ownership and ability to work autonomously while collaborating effectively with others.
- Fluent in English, both spoken and written.
- Eligible to live and work in the EU.

- Able to pass a 5-year security background check*(or be in possession of a current airside pass for the airport this position is based in the UK).
