Role Overview

This role is a vital part of the Corporate and Special Events division at AEG Presents, reporting directly to the Director of Corporate and Special Events.

It supports the division's continued growth and aligns with wider business strategy, with a focus on delivering and developing corporate and special events across indigo at The O2 and Watford Colosseum.

Please note that this role is a fixed term maternity cover position.

Key Responsibilities

  • handling event enquiries,
  • coordinating bookings,
  • managing client relationships, and
  • overseeing contracts and documentation.

The role will also work closely with the Regional General Manager to ensure collaboration across teams and alignment with corporate event goals.

Flexibility is key, with the role requiring work across both venues based on business needs, including a minimum of one working day per week at indigo and Watford Colosseum.

Main Activities

Event Sales and General Responsibilities

  • Supporting the Director of Corporate and Special Events in managing the sales inbox—responding to venue hire enquiries in a timely, professional, and commercially focused manner.

This includes assisting with client site visits and building strong relationships to maximise revenue and secure bookings.

  • Preparing bespoke quotations tailored to individual client briefs when required, ensuring a clear understanding of the client's needs and that proposals are aligned to those requirements.
  • Accurately logging all enquiries, provisional holds, and confirmed bookings on the Event Tracker, maintaining a proactive ‘chase and trace' system, and providing regular updates (through both presenting and written report) to support sales visibility and pipeline tracking.
  • Managing daily communication with both prospective and existing clients via phone and email, ensuring all correspondence is timely, informative, and consistently reflects the expected high standard of service.
  • Supporting new business acquisition through proactive sales initiatives and lead generation, as directed by the Director of Corporate and Special Events.
  • Ensuring all online venue listings and third-party profiles are kept accurate and up to date
  • Developing and maintaining strong relationships with agency and industry partners, ensuring the consistent distribution of high-quality marketing assets and promotional materials.
  • Managing all event-related administration, including drafting contracts, confirming technical and audiovisual requirements, and coordinating catering, and ancillary services pre- and post-event.

This includes working alongside the relevant site teams to ensure efficient delivery of the events, ensuring we are meeting the client expectations and where possible exceeding them.

  • Manage the full event payment process, including issuing client invoices and ensuring all payments are received in advance of the event, and completing post-event financial settlement by raising and sending commission invoices and confirming receipt of all related payments.
  • Acting as the main point of contact for corporate clients throughout the event lifecycle, ensuring clear communication, attention to detail, and a seamless client experience that supports repeat business.
  • Contributing creative and strategic ideas to improve the overall event experience from enquiry through to delivery and follow-up.
  • Proactively identifying and resolving potential issues in the lead-up to events, using sound judgment and initiative to ensure smooth delivery.
  • Liaising with internal teams—including Events, Production and Bars—to communicate event briefs and operational requirements clearly and in good time.
  • Providing on-site client support for the majority of events, working closely with the Duty Manager and venue teams to ensure successful execution and a high-quality client experience.
  • Supporting the long-term development of client and agency relationships to drive repeat business, referrals, and continued brand loyalty.
  • As required work across other venues, and promote all venues as relevant in various meetings and discussions
