What is the Opportunity? The Human Resources Administrator provides high-volume, detail-oriented HR administrative support with a primary focus on onboarding, payroll coordination, and HRIS/organizational maintenance. This role ensures timely, accurate employee lifecycle transactions and partners with internal stakeholders to improve and standardize onboarding processes, documentation, and templates across the team. This is a 15-month contract opportunity.
What You'll Do Here:
- Onboarding & Offboarding Administration Coordinate end-to-end onboarding activities for new hires, ensuring all required documents, approvals, and pre-employment requirements are completed accurately and on time. Initiate and track onboarding tasks in the HRIS and related systems; ensure completeness of new hire records prior to Day 1. Coordinate first-day readiness with hiring managers and cross-functional partners (e.g., IT, Security/Site Access, Payroll) to support a smooth employee experience. Support offboarding/termination administration by coordinating required documentation and system transactions, as applicable.
- Payroll Coordination & Employee Transactions Prepare and submit payroll-impacting transactions by established deadlines (e.g., new hires, job changes, pay changes, organizational/position changes, leaves, and terminations). Partner with Payroll to resolve issues, answer routine inquiries, and support timely corrections where needed. Maintain accurate documentation and records to support auditability and compliance.
- HRIS, Organizational Maintenance & Data Integrity Maintain accurate employee and organizational information in the HRIS (e.g., org structure updates, position/seat maintenance, and employee record changes). Complete regular data quality checks to ensure accuracy and consistency of HR records; escalate issues and recommend corrective actions. Generate and maintain trackers and basic reports to support onboarding volume, status, and outstanding actions.
- Process Improvement, Documentation & Standardization Partner with the HRBP/Specialist (Process Improvement lead) to implement and embed improved onboarding processes over the next year (e.g., updated forms, SOPs, templates, and trackers, New Formstacks). Identify opportunities to reduce rework, improve cycle time, and strengthen controls within HR admin workflows; document recommendations and support implementation. Create and maintain standardized templates (e.g., letters, job descriptions, onboarding communications) and support standardization of existing job descriptions.
- HR File & Records Management Lead clean-up and re-organization of the shared HR drive to improve efficiency, findability, and version control. Establish a simple, consistent folder structure and naming conventions; remove outdated duplicates and archive content appropriately. Ensure HR documentation is stored in the correct location and maintained in line with confidentiality and data protection expectations.
What You Bring to the Team:
- Post-secondary education in Human Resources, Business Administration, or a related field (or equivalent experience).
- 1-2 years of experience in an HR Administrator/Coordinator or HR operations role, supporting onboarding and HR transactions.
- Strong working knowledge of HRIS transactions and data entry; SAP/SuccessFactors experience is an asset.
- Proficiency in Microsoft Office (Outlook, Word, Excel); comfort working with trackers, shared drives, and templates.
- Demonstrated ability to handle sensitive/confidential information with discretion and professionalism.
