Job Description
- Provide administrative, technical and editorial support to the specifications team for efficient production and quality control of specifications and master documents.
- Assist with printing, compiling and issuing project specifications, following internal document control procedures and ensuring correct revisions, naming conventions and document layout elements.
- Support technical and administrative tasks, including setting up bids/projects, managing team and project folders and data, creating fee proposals, and updating project finance documentation.
- Help address client comments, update the Technical Reference Sheet (T-Sheet) (specification index) and manage documents.
- Work alongside the full-time Proofreader to ensure specifications are proofread for grammar, spelling, punctuation and formatting consistency, clear technical inaccuracies, and that regulations and standards are current and applicable to the project region.
- Maintain and update master data sets, reviewing regulations, standards and manufacturer/product information with Technical Leads.
- Review and update Quality Management procedures, including the Best Practice Guide, in response to feedback from the team and project lessons learnt meetings.
Qualifications
- Excellent written and verbal communication skills (English Language).
- Strong knowledge of British and American English grammar, spelling and punctuation.
- Proficient with PDF X-Change Editor, Microsoft Word, Excel, Outlook, PowerPoint, Teams, and able to pick up industry-specific specification software.
- Familiar with and open to using AI tools for efficiency.
- Highly organised, detail-orientated, and able to manage multiple tasks accurately.
- Professional, calm and reliable when supporting deadlines and high-volume outputs.
- Punctual and methodical with a ‘right first time’ approach.
- Flexible and willing to adapt to new systems and processes.
- Able to express ideas clearly, follow procedures precisely, and proactively respond to tasks.
- Strong relationship-building skills at all levels.
- Degree qualified; background in document control, technical administration, editorial, or QA/QC is desirable.
