Responsibilities include providing administrative, technical and editorial support to the specifications team for efficient production and quality control of specifications and master documents. Assist with printing, compiling and issuing project specifications, following internal document control procedures and ensuring correct revisions, naming conventions and document layout elements. Support technical and administrative tasks, including setting up bids/projects, managing team and project folders and data, creating fee proposals, and updating project finance documentation. Help address client comments, update the Technical Reference Sheet (T‑Sheet) (specification index) and manage documents. Work alongside the full‑time Proofreader to ensure specifications are proofread for grammar, spelling, punctuation and formatting consistency, clear technical inaccuracies, and that regulations and standards are current and applicable to the project region. Maintain and update master data sets, reviewing regulations, standards and manufacturer/product information with Technical Leads. Review and update Quality Management procedures, including the Best Practice Guide, in response to feedback from the team and project lessons‑learnt meetings.

Qualifications include excellent written and verbal communication skills (English Language), strong knowledge of British and American English grammar, spelling and punctuation. Proficient with PDF X‑Change Editor, Microsoft Word, Excel, Outlook, PowerPoint, Teams, and able to pick up industry-specific specification software. Familiar with and open to using AI tools for efficiency. Highly organised, detail‑orientated, and able to manage multiple tasks accurately. Professional, calm and reliable when supporting deadlines and high-volume outputs. Punctual and methodical with a ‘right first time’ approach. Flexible and willing to adapt to new systems and processes. Able to express ideas clearly, follow procedures precisely, and proactively respond to tasks. Strong relationship‑building skills at all levels. Degree qualified; background in document control, technical administration, editorial, or QA/QC is desirable.
