The Accounts Payable & Payroll Manager is responsible for leading and continuously improving the organisation’s global accounts payable and payroll operations. This role ensures employees and suppliers are paid accurately, compliantly, and on time across multiple jurisdictions.
Working closely with Finance, HR, external providers, and international stakeholders, this position plays a key role in maintaining strong financial controls, supporting statutory compliance, and driving scalable, efficient processes that align with Velocix’s fast-paced, technology-led global environment.
Responsibilities- Accounts Payable
- Own the end-to-end accounts payable process, including invoice receipt, validation, approval workflows, payment runs, and reconciliations.
- Ensure supplier invoices are accurately recorded and paid within agreed contractual terms.
- Review and authorise payment runs in line with internal controls and cash management requirements.
- Reconcile supplier statements and resolve discrepancies in a timely and professional manner.
- Build and maintain effective working relationships with suppliers, banks, and internal stakeholders across multiple countries.
- Monitor aged payables, ensuring appropriate controls, governance, and reporting are in place.
- Identify opportunities to improve efficiency through process optimisation, system enhancements, and automation.
- Payroll
- Manage and coordinate end-to-end payroll processes through third-party payroll providers in the UK and Portugal, ensuring accurate and timely payments.
- Partner with payroll providers to maintain compliance with local payroll legislation, tax rules, and statutory requirements.
- Oversee payroll reconciliations, including PAYE, National Insurance, pensions, and statutory deductions.
- Ensure correct allocation and intercompany treatment of employee costs charged across the group.
- Collaborate closely with HR to process employee lifecycle changes, including new hires, departures, compensation updates, and benefits.
- Prepare and review payroll journals, reports, and maintain accurate payroll records.
- Support payroll-related audits and respond to employee payroll queries with clarity and professionalism.
- Manage employee expense payments across the UK, US, India, and Portugal, ensuring all approvals and controls are met prior to payment.
- Governance, Controls & Reporting
- Maintain robust financial controls, policies, and procedures for accounts payable and payroll activities.
- Support month-end and year-end close processes, ensuring accurate accruals, reconciliations, and reporting.
- Assist with internal and external audits by providing documentation, explanations, and timely responses.
- Deliver clear reporting and analysis to senior finance leadership to support decision-making.
- Regularly review systems, workflows, and controls to enhance efficiency, accuracy, and risk management in a growing international business.
- Demonstrated experience managing both accounts payable and payroll functions in a multi-entity or international environment.
- Solid understanding of payroll processes, finance operations, and statutory compliance requirements.
- Experience working with finance and payroll systems such as NetSuite, Sage, ADP, Workday, or comparable platforms.
- Proven ability to work effectively with internal teams, external providers, and stakeholders across different regions.
- Experience operating in environments undergoing change, scale, or systems transformation is advantageous.
- Strong attention to detail and commitment to accuracy in financial processing.
- Ability to plan, prioritise, and manage multiple deadlines in a structured and efficient manner.
- Analytical and problem-solving skills, with a focus on continuous improvement.
- Clear and effective communication skills, suitable for cross-functional and international collaboration.
