Job Description
Role: Business Administrator
Location: Newcastle Upon Tyne
Duration: Permanent
Salary: £27,000 – £30,000 DOE
ARM are delighted to be supporting one of our clients with the recruitment of a Business Administrator on a permanent basis.
This role will Support administrative and non-technical operations across Marine, Workshop, Industrial, Parts, Sales and Marketing, and Management teams. Ensuring coordination of key account administration, operational scheduling, and commercial processes whilst maintaining compliance with customer contract requirements and internal quality standards.
What you’ll be doing:
- Schedule routine maintenance and emergency visits, coordinate engineer resources.
- Monitor work-in-progress weekly to meet delivery commitments and maintain vehicle coordination and documentation.
- Prepare and produce accurate invoices, quotations, and service reports within agreed timescales.
- Maintain training matrices and ensure engineers hold current certifications for customer site access.
- Process engineer timesheets, expenses, and allowances for approval.
- Produce KPI reports and customer management information in accordance with contract requirements and agreed timescales.
- Follow administrative SOPs for quoting, ordering, invoicing, returns, and document control.
- Manage inbound enquiries, mailbox triage, and phone reception.
- Follow administrative SOPs established by Administration Manager for quoting, ordering, invoicing, returns, and document control.
About you:
- Key customer account experience
- Experience scheduling engineers
- Knowledge of HR legislation and policy (for supporting training compliance and certification tracking)
- Computer skills (Microsoft package minimum)
- Excellent communication skills
- Excellent organisational skills
- Demonstrates integrity and confidentiality at all times.
- Professional approach and telephone manner
